Job Title: Assistant Building Consultant

Department: Sales

Business Unit: Custom Division

Markets: All Markets

Reports to: Custom Sales Director

General Summary: Primary purpose is to provide support and assistance to the Building Consultants throughout pre-production with the goal of – as a team – providing homeowners with the best possible experience and helping them move through the pre-production pipeline and into production in a timely and efficient manner.

KPIs (Key Performance Indicators):

1.  Timeliness – timely completion of follow up communication with clients

2.  Accuracy – accuracy in digital communication, compiling documentation, executing change orders, etc.

3.  Organization – maintain organized schedule and customer work priorities

4.  Team cohesion – display integrity and healthy communication with all team members

We are specifically seeking an individual with high levels of organizational competency, prioritization capabilities and excellent computer skills in Excel and Word, with the ability to learn our software programs. There will be direct customer interaction, and the individual will be part of a dynamic, welcoming, and charismatic customer care team.

Basic Job Duties

•Attend all client and partner related meetings and outings with building consultant

•Prepare for all client meetings by compiling all necessary documents for each appointment

•Communicate with clients via CRM with template emails at designated time-frames post initial consultation

•Collect property documents from clients during the bidding process via email and save documents in specific locations on the server

•Become familiar with inputting pricing from estimating worksheets into pricing software and print out all documentation in preparation for bid review meetings.

•Follow necessary steps on CRM of processing each converted client

•Use CRM system to follow up with clients

•Prepare for all plan review meetings by printing out all documents needed for the appointment

•Become familiar with creating plan review change orders in the pricing software

•Sending documents via e-signature platform as needed for signature

•Update client information in CRM

•Assist Building Consultant in organizing and scheduling meetings that are not new clients to assure adequate time for an enjoyable client experience for every client

•Assist with occasional software issues

•Assist with office/staff needs (i.e. special events organization, materials, etc.)

•Additional duties as assigned by management

Basic Qualifications

•High school education or equivalent

Technical knowledge and skills

•Microsoft Excel (high skill level)

•Microsoft Word (high skill level)

•Microsoft Outlook (basic skill level)

•All platforms of social media (high skill level)

General assessment skills

•Offers suggestions and/or ideas for change in a respectful and knowledgeable manner

•Exudes honesty and integrity within a professional image

•Demeanor is steady and consistent

Work environment and schedule:

•Normal business hours: Monday - Thursday (7 am – 5 pm); Friday (7 am – 12 pm)

•Periodic night and weekend work may be necessary

•Serves all markets in the Company (though work will generally be performed in the Lafayette office
