Job Description
80% – Faculty Support
- Assist faculty with travel-related reporting using Concur, including organizing receipts, selecting appropriate expense categories, and preparing itineraries and schedules.
- Support faculty in using the Faculty Insight system to manage CVs, publications, research activities, and grant reporting.
- Help coordinate logistics for field trips and travel, including booking campsites, lodging, vehicles, and reviewing relevant regulations.
- Monitor research equipment usage and maintain logs or inventories as needed.
- Provide backup support for course scheduling, room assignments, and permission numbers.
- Track enrollment data and monitor enrollment trends.
- Collect and post office hours for faculty and GTAs each semester.
15% – General Departmental Support
- Perform other duties as assigned by the Chair, including support for teaching, research, and departmental activities.
- Help maintain reception areas, including brochure racks, student recruitment materials, guest seating, and shared spaces.
- Assist with scheduling faculty-student meetings.
5% – Communication and Outreach
- Maintain and update electronic displays with daily building communications.
- Assist faculty in developing website content related to events or departmental representation.

Required Qualifications
- Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint, as indicated on application materials.

Position Overview
This position supports faculty with basic operational and travel-related tasks, including submitting receipts, tracking purchases, and assisting with travel planning such as booking campgrounds or lodging. The role also involves light document preparation, such as scanning and organizing materials. Additionally, the position may include occasional work in the field staging area to help prepare supplies and check safety equipment for field trips. Support for geology department staff may be requested as needed. Strong organizational skills and the ability to work independently are important for success in this role.
