Key Responsibilities
- Schedule and coordinate simulator training, recurrent training, and pilot development activities.
- Ensure compliance with FAA Part 135, TSA, DOT, and international aviation regulations.
- Oversee pilot onboarding, credentialing, and document control processes.
- Maintain accurate records for crew certifications, training records, aircraft documentation, and regulatory audits.
- Act as liaison with the FAA, TSA, and third-party safety auditors (ARGUS, IS-BAO, Wyvern).
- Assist with FAA audits, internal compliance reviews, and third-party safety inspections.
- Maintain and update General Operations Manual (GOM), Minimum Equipment Lists (MELs), and Standard Operating Procedures (SOPs).
- Track and log compliance training, regulatory updates, and risk assessments.
- Assist with A031 audits, GTM tracking, and international operations compliance.
- Ensure TFSSP, NATA, and off-fleet approval processes are efficiently managed.
- Maintain records and assist in FAA and third-party audit preparation (ARGUS, IS-BAO, Wyvern).
- Serve as the primary point of contact for crew scheduling and operational inquiries.
- Address crew concerns regarding flight assignments, travel arrangements, and documentation.
- Work closely with the Director of Compliance to ensure all crew meet regulatory mandates.
Skills, Knowledge and Expertise
- Understanding of FAA Part 135 regulations, crew duty/rest limits, and compliance standards.
- Prior experience in flight operations, dispatch, crew scheduling, or aviation administration is preferred.
- Ability to manage multiple schedules, last-minute changes, and flight logistics.
- Detail-oriented mindset with the ability to anticipate and resolve crew-related challenges.
- Ability to work collaboratively across departments, including CEO/DO, Chief Pilot, People and Culture, and Compliance teams.
- Strong ability to communicate clearly with pilots, crew, and operational leaders.
- Proficiency in aviation scheduling software, flight planning tools, and Microsoft Office Suite.
- Experience with PRD, Avinode, JetInsight, and other industry platforms is a plus.
