Job Summary
The Electronic Document Specialist is responsible for managing the digitization, organization, and maintenance of physical documents in electronic formats. This role involves scanning, indexing, and storing documents securely, ensuring data accuracy, and supporting efficient retrieval of digital records. The ideal candidate will have a strong attention to detail, technical skills in document scanning software, and a commitment to data confidentiality.
Responsibilities:Essential Job Duties and Responsibilities
- Operate scanning equipment to convert physical documents into digital formats, ensuring high-quality and legible results.
- Organize and index scanned documents for easy access and retrieval using document management software.
- Review scanned documents to ensure data accuracy and completeness.
- Perform quality control checks to verify that documents are properly scanned and indexed.
- Maintain and update the digital filing system to ensure security, accessibility, and compliance with data protection standards.
- Collaborate with various departments to support their document management needs.
- Troubleshoot scanning issues and maintain scanning equipment to ensure efficient operation.
- Ensure compliance with company policies and legal regulations related to document retention and confidentiality.
- Follows HIPAA policies and procedures to ensure protected health information is secure
- Other duties as assigned
Education and/or Experience
- High school diploma or equivalent; an associate degree or certification in records management or a related field is a plus.
- Experience in document scanning, digital imaging, or document management is preferred.
- Document management software and scanning equipment, preferred
- Strong organizational skills and attention to detail.
- Ability to handle confidential information with discretion.
- Good communication skills and the ability to work both independently and as part of a team.
Skills/Specialized Knowledge
- High school diploma or equivalent; an associate degree or certification in records management or a related field is a plus.
- Experience in document scanning, digital imaging, or document management is preferred.

Physical and Mental Demands
This position will spend long hours sitting and using office equipment and computers. The position may also entail light lifting of supplies and materials occasionally, up to and including 20 pounds in addition to reaching, stooping, standing, and walking. This position requires the ability to talk, hear, compare, compute, compile, copy, analyze, coordinate, synthesize and communicate. Work Environment
- Once to twice a week office-based with regular use of scanning equipment.
- May require lifting and moving physical documents and files.
- Part-Time Work Hours: 20-25 hours per week, with flexible scheduling options available.
