About the Department
Duties and Responsibilities:
- Manage schedules, coordinate meetings, and handle communications as directed by attorneys, supervisors, or senior management.
- May assist in overseeing and handling the distribution of incoming mail.
- Manage organization/distribution of office supplies.
- Preparing and/or editing legal correspondence, documents, and files as directed, including using DocuSign for routing and electronic signatures.
- Perform other assignments and duties as required and/or necessary to support the needs of the Legal Services Division.
- Maintain a minimum of 20 training hours as required for all HCSO employees.
Position Duties
This is a full-time civilian position, must be available to work outside normal business hours if needed.
- High school diploma or G.E.D. equivalency from an accredited educational institution, and three (3) years of professional administrative support experience.
- A combination of education and experience that demonstrates the candidate meets the competencies of the position will be considered.
- Must pass the “Administrative Staff Skill test” with a minimum overall score of 80% and a typing speed of 40 WPM with 85% accuracy.
- Copy of last evaluation (front and back) with a minimum score of 20
Knowledge of:
- General knowledge of office methods, procedures, and practices
- Working knowledge of English, grammar, spelling, and punctuation
- Knowledge of event coordination
Skilled in:
- Intermediate to Advanced use of standard office software programs such as MS Office (Word, Excel, PowerPoint, and Outlook) and Publisher
- Exceptional communication skills - both written and verbal
- Superior organizational skills and dedication to completing projects promptly
- Accessing the front-end of databases and record-keeping
Ability to:
- Display a "can-do" attitude and take initiative to address potential issues within the agency
- Identify and solve standard problems and refer more complex problems to appropriate personnel
- Plan, prioritize, and balance the work assignments simultaneously in a fast-paced environment
- Work cooperatively with a diverse team
- Exhibit a high level of confidentiality
Minimum Qualifications
Prior experience in a legal firm or as a legal secretary preferred
Other Qualifications
CLASSIFICATION STARTING SALARY: $29.85/hr
For internal transfers, the salary rate is determined by the employee's current job classification as follows:
Classification change: Employees currently in a classification other than Clerk (e.g., Records Specialist, Admin. Assistant, Detention Officer, etc.) if hired, starting salary is at the first step of the Clerk Classification and will have a new rank date for step pay.
Lateral transfer: Employees currently employed in the Clerk job classification in other Divisions, if hired, will maintain their current step pay and rank date.
Work Environment
This job operates in a professional office environment and within the jails to understand the jail environment and become familiar with jail processes and staff. This role routinely uses standard office equipment, such as computers, phones, photocopiers, filing cabinets, and fax machines.
Physical Demands
This role is sedentary; however, the ability to lift and carry up to 10 pounds is necessary to lift files and/or boxes of files, documents, etc.
Position Type and Typical Hours of Work
This is a full-time position. Days and hours of work are typically Monday through Friday, 8:00 a.m. to 5:00 p.m. Hours may vary based on the business needs of the department.
