Examinetics is hiring a Case Coordination Assistant to join our expanding team! This is a full time role based at our Griffith, IN office location.
The Case Coordination Assistant is responsible for assisting the administrative functions of the medical management department. This role involves working closely with the clinical team to assist with clerical and organizational tasks. This role plays a key role in optimizing the efficiency of the medical management department while supporting quality improvement and operational goals.

Primary Responsibilities:
- Ensure that all incoming phone calls to the department are answered efficiently and professionally.
- Ensure that all activities are HIPAA compliant
- Support the case management team in coordinating employee care, including locating clinics and scheduling appointments with primary and specialty clinics.
- Support the team by faxing/emailing authorizations for care and drug screening to clinic
- Support team by ensuring that injured workers are attending scheduled appointments.
- Request medical records from varying facilities
- Ensure effective communication with client companies regarding scheduling status, missed appointments.
- Communicate effectively with healthcare facilities, employees, client companies and colleagues to address the status of cases.
- Ensure that all documents from an injured workers appointments are received in a timely manner and appropriately stored/distributed.
- Ensure that all activities are HIPAA compliant
- Ensure compliance with all company policies and procedures
- Maintain database of various state regulations related to work injuries
- Assist the medical management team with reviewing of records and generating reports for client companies.
- Ensure that internal database is up to date with client information
- Ensure that internal database is up to date with insurance claim information and status
- Support the team by taking the initial demographic information on new injury calls
- Audit and maintain the calendar/tracking of all cases
- Promote and support a culture of continuous improvement within the medical management department.
- Contribute to the development and implementation of best practices
- Maintain injury tracking, logging and determination, as well as, monthly reports for client companies.
- Act as the main point of contact for return to work/fitness for duty requests
Job Requirements:
Education and/or Experience
- High School Diploma or equivalent completed
- Associates Degree preferred
- 2+ year of work experience in a customer service position or related
- Industry experience in the medical field preferred
- Experience working with Microsoft Office and Microsoft Teams or equivalent
- Knowledge of healthcare IT systems, including electronic health records (EHR) and reporting tools preferred
Skills & Abilities
- Exceptional organizational skills and attention to detail, with the ability to handle multiple priorities simultaneously.
- Strong communication skills, both verbal and written, with the ability to interact effectively with clinical and non-clinical staff, employees, and external stakeholders.
- Ability to pass background check and drug screen
