Position Profile

The Site Leader is accountable for the daily operations of a small site and serves as the go-to person for a small team. This role involves reporting and escalating facility-related issues to assigned leadership, maintaining acceptable profit levels, and ensuring customer service expectations are met. Responsibilities include performing contracted office services such as:

  • Copy Services
  • Courier Services
  • Managed Print Services
  • Hospitality
  • Imaging
  • Mail Services

The Site Leader is the primary on-site contact for customer issues and contract compliance at locations without an assigned Site Manager.

Job Duties and Responsibilities
  • Oversee daily operations of mail room, copy center, or scanning facility, including use of office equipment (PCs, copiers, multifunction devices, imaging & mail equipment).
  • May manage: courier services, reception, switchboard, shipping & receiving, mail delivery and processing.
  • Act as team lead for a small group, assisting with job assignments, project scheduling, break supervision, and issue escalation.
  • Serve as the on-site point of contact for customer concerns and contract compliance.
  • Train and develop assigned staff.
  • Maintain daily formal contact with customers.
  • Implement and manage Ricoh Service Excellence programs.
  • Analyze and resolve problems with minimal guidance.
  • Understand and track Service Level Agreements (SLAs), report compliance, and drive performance improvements.
  • Support leadership in recruiting, staffing, and performance management.
  • Foster positive internal relationships through professional communication.
  • Provide workflow and machine operation training as needed.
  • Supervise shift profitability through efficient use of materials and supplies.
  • Ensure quality and deadlines are met via effective job scheduling.
  • Maintain workflow efficiency and accountability for team performance.
  • Resolve pricing and order-related issues in coordination with sales.
  • Complete site reports and paperwork accurately and on time.
  • Perform routine tasks such as work orders, contractor monitoring, inspections, and facility issue reporting.
  • Interact with vendors, facility management, and occupants as needed.
  • Manage office supply inventory and reordering.
  • Coordinate conference rooms and A/V equipment resources.
  • Complete month-end management reports in absence of Site Manager.
  • Assist AOM/ESM or NOM with site personnel training and development.
  • Place requisitions for site products and supplies using Oracle iProcurement.
  • Perform other duties as assigned.
Qualifications

Education & Experience:

  • High school diploma or GED required.
  • 2+ years of experience in a related field (B2B and/or technical).
  • Prior training experience preferred.
  • 2+ years of customer-facing experience required.
  • Proficient knowledge and understanding of technology.

  • Tactical process facilitation

  • Intermediate customer service skills
  • Intermediate technical aptitude
  • Strong written and verbal communication skills
Working Conditions & Physical Demands
  • Typical office environment with standard lighting, ventilation, and noise levels.
  • Diverse work assignments requiring interpretation and application of complex information.
  • Some physical effort required: walking, standing, bending, lifting/carrying up to 50 lbs.
  • Moderate dexterity: regular use of calculator, keyboard, hand tools, and coordination.
