PATTERN Beauty is seeking a highly organized and detail-oriented Product Development Coordinator to join our dynamic team. This role will take ownership of daily tasks necessary for successful launches within the Product Development department. The ideal candidate will have a desire to build a strong product development foundation, excellent organizational skills, and a passion for beauty and personal care.
All candidates MUST be based in the Los Angeles area, as this role is hybrid and in office 3 days a week in West Hollywood, CA.
Product Development:
- Coordinate product testing by preparing samples, shipping, filling out request forms, follow-up on tests and filing results in correct folder in SharePoint
- Collect and analyze consumer/tester feedback and insights to inform product development decisions
- Proactively prepare for product development meetings by assembling samples, printing relevant documents, reserving meeting spaces, and ensuring presentation ready materials
- Begin to build understanding of end-to-end PD work-flow process
- Help keep updated notes on NPD project timelines
- Schedule and manage agenda for meetings for the team and vendors as needed
Formula Management:
- Maintain all areas in office clean and organized
- Stock or communicate with office manager all supplies needed for Product Development
- Prepare and label all formula samples (formulas and packaging) to internal and external testers for thorough formula evaluation
Cross-Functional Collaboration:
- Maintain close cross-functional communication with Operations, Marketing, and Sales teams to ensure relevant information is being shared efficiently and/or submitted on time
- Schedule and manage agenda for PD lead meetings as needed
- Attend meetings with vendors and internal teams, take meeting notes, and circulate recap notes
Innovation and Research:
- Assist in the ideation and conceptualization of new product concepts via marketing analysis and market trend research and consumer insights
- Research new ingredients, textures, products and packaging to allow for greater innovation
- Create internal testing comment tracking sheets for all formulas/ capabilities that are shared with the team to have one consolidated place for those comments
- Participate in "Blue Sky" brainstorming sessions and come to such meetings with ideas, ready to share
Documentation & Organization:
- Maintenance and tracking of formulations and packaging submissions; label all retains, packaging submissions, retains, standards, capabilities for easy reference
- Create and maintain detailed documentation for product formulations, testing protocols, and project plans
- Maintain and monitor in-office storage system by ordering supplies, packing and labeling materials, and establishing a user-friendly referencing system for all projects
- Build and maintain Product Information Files (in SharePoint and other PML systems), ensuring all product documents are up to date and easy to find and reference
Shipping & Receiving Logistics:
- Inspect incoming shipments for accuracy and quality and equally proactively follow up on shipments that are sent
- Record and document received items in inventory management systems when applicable
- Coordinate with suppliers and vendors regarding deliveries and provide tracking to project owners
- Prepare and organize outgoing shipments, generate shipping labels and relevant documentation, track shipments to ensure timely delivery to recipients
- Coordinate logistics for shipping and receiving, including scheduling pickups and managing delivery timelines
- Communicate with carriers and service providers to arrange transport as needed
- Maintain and organize shipping and receiving documents, including invoices and packing slips
- Ensure compliance with shipping regulations and company policies
- Serve as a point of contact for internal teams regarding shipping and receiving needs
- Inform relevant stakeholders of shipment arrivals, statuses and any issues that arise
Budget & Expense Tracking:
- Assist with gathering and submitting vendor invoices for processing
- Update expense trackers with current spend to help the team stay organized
- Support the Product Development team in keeping budget documents current by logging costs and flagging discrepancies for review
Qualifications and Skills:
- Bachelor's degree in Cosmetic Science, Beauty Management, Business Administration or related field
- Excellent project management skills, with the ability to multi-task and prioritize
- Strong organizational and attention to detail skills
- Ability to work effectively in a cross-functional team environment
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word)

Salary range: $55,000 to $59,000 annually ($26.44 to $28 an hour)
