FLSA: Non-Exempt, paid for time worked, 40 hours/week during school year 


Hours:  Monday to Friday:  9:30 a.m. – 6:00 p.m. (Aug-May)

                                                 8:00 a.m. – 3:00 p.m. (June-July)


Position Summary:  To perform selected duties in a professional and organized manner so as to contribute to the efficient operation of the school supporting the work of school administration.

Essential Responsibilities

  • Serve as the myIWA contact point for parents, students, and staff.  
  • Initiate and distribute user names/passwords for myIWA.
  • Process quarter and semester report cards.
  • Support attendance and discipline procedures through tracking and reporting.
  • Ensure compliance and reporting for Catholic Schools Office and TCCB requirements.
  • Post completed transfer coursework by the beginning of the student’s start semester.
  • Print, sign, seal, and send transcripts as needed.
  • Update student record files.
  • Maintain standardized test scores on permanent record cards.
  • Prepare diplomas and other graduation materials.
  • Assist with the master schedule.
  • Work with receptionist to track attendance and contact parents.
  • Assist the Admissions team with incoming student files.
  • Maintain the integrity of student records in Blackbaud.
  • Prepare lists/reports of data from Blackbaud upon request. 
  • Assign myIWA accounts to new parents and students.
  • Manage myIWA permissions for parents and students (financial holds) in Blackbaud.
  • Assist in training of teachers to gradebook entry and maintenance.
  • Create and distribute  D & F reports weekly.
  • Process GPA, class ranking, and semester honor roll.
  • Share Honor Roll list of students with their middle school principal each semester.
  • Verify teacher lesson plan completion and gradebooks.
  • Maintain list of students who require summer school and tracks completion of required courses at the end of each semester.
  • Analyze data and provide reports as requested.
  • Input master calendar events as directed by administration.
  • Attend and keep minutes for school leadership meetings.
  • Provide administrative support to the principal, including managing schedules and correspondence.
  • Maintain student records including enrollment, attendance, and academic documentation.
  • Track purchasing and process reimbursements.
  • Coordinate school events, meetings and in-service by scheduling, preparing materials, managing logistics, purchasing supplies, and setting up hospitality in advance. 
  • Maintain organized records and files for administrative and staff-related documentation. 
  • Complete other duties as assigned.
