Primary Job Functions: The School Maintenance Warehouse Secretary provides administrative and clerical support to the maintenance and warehouse operations. This role involves coordinating work orders, maintaining records, managing inventory systems, processing purchase orders, and assisting with communication between staff, vendors, and school personnel.
Salary Lane: ADMNC - Hourly pay starting at $22.00.

Schedule: Monday – Friday

Qualifications:
Education: High school diploma or GED required.
Certification: None is required.
Experience: Minimum 2 years of clerical or administrative experience (experience in a maintenance or warehouse environment preferred).
Skills and Knowledge: Proficient in Microsoft Office (Word, Excel, Outlook). Strong organizational and multitasking skills. Attention to detail and accuracy in data entry. Good written and verbal communication skills. Ability to work independently and as part of a team. Knowledge of basic maintenance terminology and procedures is helpful.
Other: Ability to maintain a positive relationship with pupils, staff, parents, and the community.
Essential Functions:
Clerical and Administrative Duties:
Answer phones, take messages, and respond to inquiries regarding maintenance requests.
Prepare correspondence, reports, memos, and other documents.
Schedule and coordinate maintenance appointments and meetings.
Maintain accurate and up-to-date filing systems (digital and physical).
Operational Request:
Receive, order, and track operational requests from schools and departments.
Liaise with School Treasurers and Vendors.
Ensuring purchases are cost-effective and standardized within the Corporation.
Inventory and Warehouse Support:
Assist in maintaining accurate inventory records of supplies, tools, and equipment.
Enter inventory transactions into tracking software (e.g., ordering, receiving, disbursing).
Assist with coordinating supply requests from school sites and ensure timely delivery.
Purchasing and Vendor Coordination:
Prepare and process purchase orders and requisitions.
Communicate with vendors for quotes, order tracking, and delivery issues.
Ensure proper documentation and compliance with procurement policies.
Other Duties:
Provide administrative support to the Facilities/Maintenance Supervisor or Director.
Assist with budget tracking and expense reports.
Participate in professional development, as assigned.
Other duties as assigned by the supervisor.
Physical Demands:
Office-based position located within or adjacent to a maintenance or warehouse facility. While performing the duties of this job, the employee is regularly required to sit, stand, and use hands to handle or feel objects, tools, or controls and talk or hear. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance, vision, color vision, peripheral vision, depth perception, and the ability to focus.
