Education/Training/Experience
- High school diploma or GED
- Previous experience as a front desk concierge, receptionist or office assistant.
- Previous experience with multi-line telephone systems.
- Basic computer experience.
Job Duties
The Concierge position serves as the key communication link for residents, their families, staff, guests, and potential residents by receiving and handling outside and internal calls, greeting guests, and providing assistance and information. This position is a frontline customer service representative and plays an essential role in creating a welcoming and lasting first impression that demonstrates the mission and values of our community. The Concierge position also plays a role in responding to campus emergencies and alerts.
Communication
- Answers telephone with proper greeting and pleasant demeanor
- Screens and properly transfers calls in a timely manner
- Greets residents, staff, and visitors, providing a joyful customer service experience
- Stays abreast of special events and activities and provides accurate information to residents and visitors
- Coordinates communication between the residents and departments as needed
- Maintains a desk logbook and performs procedures to open and close the desk
- Monitors and responds to email and forwards messages to the appropriate individual
Resident and Guest Services
- Promptly and courteously responds to inquiries about St. James Place
- Provides informational brochures to walk-in visitors
- Assures that the desk is staffed and arranges for desk relief when needed
- Assures that deliveries to residents are properly arranged and delivered timely
- Notifies Transportation of requests for services or pickup
- Assists residents or families with requests for services or meals
- Enters maintenance requests in work order system
Security and Alert Systems
- Monitors resident alert system and fire panels and promptly notifies the responsible parties of concerns
- Maintains knowledge of and performs procedures related to fire alarm and fire drills
- Provides information to staff and residents on the status of emergency situations or drills
Physical Requirement:
Ability to work in an office environment while utilizing proper body mechanics.
