About the Department
Purpose of Job
Performs responsible, clerical work ensuring that all utility billings are accurate and sent out in a timely manner.
Essential Job Duties
- Transfer data from the computer system into meter reading equipment for utility billing routes to be read.
- Unload data from meter reading equipment after utility billing routes are read.
- Review, verify, and correct, if necessary, customer accounts prior to processing the monthly billings.
- Research billing problems or errors and adjust if necessary.
- Complete computer backups on a daily, weekly, and monthly basis.
- Print various reports on a monthly or as needed (i.e. TVA, Electric, Water and Sewer, Loan Status, Cash Receipts, New Customers, etc.).
- Receive customer inquiries and complaints in person or by telephone.
- Calculate equalized payment plans for budget billing customers.
- Prepare utility bills for postage and mailing to customers if outsource billing is not utilized.
- Perform additional duties as assigned.
- Completing assigned tasks timely and meeting appropriate deadlines.
- Addressing complaints of unhappy customers while maintaining professionalism.
- Personal computer with associated standard and financial software.
- Calculator, copier, and other standard office equipment.
- Handheld meter reading equipment.
- Knowledge of modern office practices, procedures, and equipment.
- Knowledge of the operation, uses, and capabilities of electronic data processing equipment.
- Knowledge of billing and adjustment procedures.
- Knowledge of utility classifications, rate structures, and tax codes.
- Knowledge of bookkeeping technology, methods, and procedures.
- Ability to exercise good judgment in evaluating situations and making decisions.
- Ability to use Microsoft Excel, Microsoft Word, and a variety of financial software packages.
- Ability to effectively operate a variety of office machines including 10-key calculator by touch.
- Ability to work independently in the absence of specific instructions.
- Ability to communicate effectively both orally and in writing.
- Ability to establish and maintain effective working relationships with others.
- Employee will work mostly in an indoor office environment and will sit, stand, stoop, walk, and lift light objects (typically 25 pounds or less).
Education and Experience: Graduation from a standard high school; prior work experience in bookkeeping, utility billings, and customer relations; or a combination of education and experience equivalent to the required knowledge and abilities.
