About the position:
The Facilities Coordinator supports the Director of Facilities in planning, coordinating, and executing facility related projects and maintenance activities across the organization. This role serves as a key point of contact for vendors, contractors, and internal teams to ensure safe, efficient, and well-maintained facilities. The Facilities Coordinator will assist with project planning for remodels and renovations, troubleshoot facility issues, and implement solutions that align with organizational standards. This position requires a proactive, detail-oriented individual who can work independently, manage multiple priorities, and collaborate effectively to maintain a high-quality environment for staff and clients.
Job Functions:
- Assist the Director of Facilities with planning and coordinating facility projects, including remodels, renovations, and upgrades.
- Serve as a primary liaison with vendors, contractors, and service providers to obtain quotes, schedule work, and ensure timely completion of projects.
- Monitor facility conditions and proactively identify maintenance needs, safety concerns, and opportunities for improvement.
- Coordinate and track work orders, ensuring timely resolution of facility-related issues.
- Support compliance with building codes, safety regulations, and organizational policies.
- Maintain accurate records of maintenance activities, vendor agreements, and project documentation.
- Collaborate with internal departments to address facility needs and provide responsive customer service.
- Assist in developing and implementing preventive maintenance schedules for building systems and equipment.
- Manage inventory of maintenance supplies and equipment, ensuring availability for ongoing operations.
- Perform hands-on facility tasks as needed, including minor repairs and troubleshooting.
- Participate in emergency response planning and assist with facility-related emergencies as required.
Qualifications:
- Minimum high school diploma or the equivalent
- Valid Illinois Driver's License and personal, insured vehicle
- Knowledge of building safety/codes and several years of related experience
- Must have reading, hearing, and speaking ability to communicate effectively
- Ability to lift at least 80 pounds
- Ability to stand and walk most of the working day
- Physical body dexterity to allow for bending, stooping, reaching, pushing, pulling, etc. when moving, lifting, or installing equipment, appliances, furniture
- Ability to work in various temperatures and seasonal conditions
- Ability to transport self, equipment, and various tools to various agency locations and suppliers
