Job Summary


The Senior Administrative Assistant serves as a critical support role within the corporate administration department, reporting directly to the Executive Assistant. This role is designed to ensure the seamless execution of administrative functions while providing oversight to the Corporate Travel Coordinator.

Duties and Responsibilities

  • Assist the Executive Assistant in managing high-priority tasks and ensuring effective communication between executive leadership and other departments.
  • Provide administrative support to the CEO, General Counsel, CAO, and other executive team members as needed.
  • Oversee the daily operations of the corporate administration department, ensuring efficiency and adherence to established policies and procedures.
  • Coordinate schedules, meetings, and appointments, including handling complex calendar management for executive team members.
  • Serve as a liaison between internal teams, external stakeholders, and executive leadership, maintaining professionalism and confidentiality at all times.
  • Assist in drafting, proofreading, and distributing internal and external communications.
  • Supervise and mentor the Corporate Travel Coordinator, ensuring adherence to the company’s travel policies and maintaining effective vendor relationships.
  • Provide guidance on travel arrangements, including visa and passport processing and resolving escalated travel issues.
  • Support the Corporate Travel Coordinator with periodic travel policy updates and expense report reviews.
  • Participate in strategic planning activities for administrative processes and department policies.
  • Develop and refine skills in board meeting coordination, budget preparation, and departmental efficiency initiatives.
  • Manage sensitive and confidential information with the utmost discretion.
  • Prepare expense reports, track departmental budgets, and assist in financial reconciliation tasks.
  • Oversee administrative projects and provide ad hoc support to ensure operational success.


Requirements

  • Bachelor’s degree preferred, or a minimum of five years of experience in a corporate administrative role, with at least two years in a supervisory or senior-level position.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Excel, Word) and Adobe Acrobat.
  • Exceptional organizational, multitasking, and time-management abilities.
  • Strong written and verbal communication skills, with the ability to interact effectively across all levels of the organization.
  • Experience in managing travel arrangements and familiarity with corporate travel policies is a plus.
  • Flexibility to work beyond normal office hours when called upon for coverage and special events.
