Job Description
Specific Responsibilities:
1. Prepares all samples for merchandising review and photography (30-40%)
A. Verifies all merchandise matches samples approved for catalog
B. Verifies samples of new products are available and in good condition for photography
C. Monitors and logs all product and notes discrepancies
D. Takes note on all special requests from Merchandisers and follows through on those requests
2. Request samples needed for Photography (10-15%)
A. Checks Open Frame/ Power BI reports for inventory of pick up items need for photography
B. Orders pickup items from various warehouse locations if inventory is available
C. Updates Content X for any pickup items that need to be ordered from vendor, due to no on-hand inventory availability
3. Updates Flex database with sample receipt information (20-25%)
A. Performs daily sample receiving duties for photo and consideration samples
B. Enters all receiving information accurately into the Flex sample database
C. Generates sample label and applies to product
D. Assembles and displays all samples by Merchandiser area
E. Distributes pertinent literature to Supply Chain department as it is collected
5. Performs disposition of non-selected samples- (5-10%)
A. Determines disposition of scrapped samples to- Outlet Stores, Return to Vendor, to destroy, or donation
B. Inspects each product for breakage or damage
C. Prepares, and ships unsolicited samples to proper locations
6. Performs sample preparation duties, including- (15-20%)
A. Inspects, assembles, and prepares all samples for merchandising presentations
B. Communicates sample issues: broken/damaged, assembly, quality, or instruction sheet problems to Supply Chain departments- QA, Merchandising and Sourcing
C. Repairs any broken or damages samples for presentation if possible
D. Arranges storage for all approved samples until shipment to photo studio
E. Communicates the flow of all out-bound photography samples for shipment with Messenger service
7. Performs Photography release preparation duties
A. Receives the approved layout, determines that products are available and correct for each catalog spread
B. Ensures that missing product has been ordered
C. Completes photo direction with date information of shipment, what and how many items shipped
D. Pack all shippable items for release to photo studio
E. Labels all items or boxes with photo studio name
F. Places all items in appropriate messenger area for pick up
G. Arranges for Messenger Service to Photo Studio’s
H. Notifies Supply Chain departments when “hot” samples have been received
I. Communicates with in-house departments of delays, sample problems, including sample condition, delivery schedule, inbound or outbound shipment, and transfers
8. Performs Shotflow database updates.
A. Enters and updates tracking of each photo sample that has been shipped
B. Enters and updates tracking of each photo sample that has been returned from
C. Enters and updates tracking of each photo sample that is requested by Print Production for color proofing
D. Enters and updates tracking for received samples
