Position:              Central Registration, Secretary III, Permanent Support Staff (Anticipated)

         

Location:              Chancellor Center 

  

Hours/Schedule:   7.5 hrs. per day/ 5 days per week/261 days per yr.

                              

SUMMARY: Provides skilled clerical support to the registration department.  Supports community, public and nonpublic schools, staff, students, and parents serving as the first line of contact for greeting, problem solving and providing a high level of customer service. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Maintain online registration system to create and modify registration appointments with District families
  • Greet and provide assistance to those who contact the registration department
  • Review online data entry for new registrations, meet with District families to complete registration process, assist parents with providing necessary paperwork and make basic decisions on acceptable documentation
  • Enter the necessary data in the District’s student information system (currently eSchoolPLUS) to ensure data quality and streamlined state reporting, including certain required program codes
  • Able to manage a high volume of phone calls, emails and walk-ins
  • Create spreadsheets for reports and/or work within existing spreadsheets
  • Provide basic customer support to parents and guardians in the District’s online parent portal (Home Access Center), including entering student credentials, creating new accounts, resetting parent and teacher passwords and responding to support e-mails
  • Enroll students in grade-specific digital textbooks
  • Report any unresolved issues to the appropriate supervisor
  • Able to develop effective and positive working relationships with staff, parents, administrators and school personnel
  • Provide support to the District’s Transportation department as directed, including answer phone calls and logging issue information in the District’s CRM software
  • Provide support to the District’s Information Systems and Decision Support department as directed.
  • Administer the annual Act 80 residency verification process
  • Able to understand and carry out oral and written instructions
  • Able to work within different technological systems including Munis, eSchoolPLUS and Infofinder
  • Demonstrates high-level analytical and organizational skills
  • Ability to perform duties while adhering to all district requirements and Board of Education policies and priorities

QUALIFICATIONS:

  • High School Graduate or equivalent required; college degree preferred
  • 5 years secretarial/office management experience and/or training
  • Business acumen and the ability to design reports and correspondence
  • Strong communication and interpersonal skills
  • Strong technological skills – proficient in MS Office Suite, proficient in typing, grammar, and writing skills

 

REQUIRED PAPERWORK: In order to begin employment in any PA public school, all employees are required to complete mandatory paperwork. Background employment clearances must be completed within the last year to be valid and include:

Some additional paperwork includes Arrest/Conviction Report form, PA Sexual Misconduct/Abuse Disclosure (Act 168), physician’s health form and recently completed TB test.
