SUMMARY

To provide administrative support to the Franchise Operations and general support to HBH franchisees.

 

ESSENTIAL FUNCTIONS

  • Prepares, types, edits and proofread correspondence, reports, memos, and presentation materials.
  • Assists in maintaining the VP’s and franchise associated calendars.
  • Assists the VP of Franchise with power points, slide presentations for ELT and Franchisee Webinars.
  • Provides support to the Franchisees and store managers.
  • Assists in preparing weekly mailings, HBH Times information to Franchisees.
  • Files documents (legal) and other correspondence.
  • Schedules franchise meetings (FAC), Franchise conference calls/webinars, type minutes, and distribute.
  • Assists HBH legal counsel with preparation and mailing of legal documents to Franchisees.
  • Assist in planning special events/meetings, i.e. annual HBH Franchise Conference, Franchise Advisory Committee meetings, etc.
  • Assists in preparing rooms and meals/reservations for FAC meetings and Discovery Days.
  • Screens and handles all incoming calls and re-directs as appropriate from outside vendors/sales.
  • Receives, sorts, and reviews incoming/outgoing mail and responses as required.
  • Updates Franchise-operated store addresses, FBL Span lists and distribute as required.
  • Provides switchboard relief on a rotating basis.
  • Assists with special projects, gift certificate procedures, etc.
  • Research and assists FBL’s problems/issues for Franchisees
  • Provides support to all Franchise Operations and Sales team to drive brand success.
  • Performs other duties as required by business and departmental requirements.

 

SUPERVISORY RESPONSIBILITIES

This position has no direct reports.

 

EXPERIENCE REQUIREMENTS

  • 3 - 5 years’ administrative assistant experience required.
  • Legal/contract experience preferred.
  • FRM CRM platform knowledge a plus.

 

EDUCATION REQUIREMENTS

  • High school diploma required, with emphasis on business-related courses; associate or bachelor’s degree preferred.

 

KNOWLEDGE, SKILLS, AND ABILITIES

  • Excellent skills on Windows, Word, Excel and PowerPoint required.
  • Strong administrative and organizational skills required.
  • Strong oral and written communication skills required.
  • Ability to prioritize work and meet deadlines.

 

 

TRAVEL REQUIREMENTS

Typically requires periodic, sometimes overnight, travel <5% of the time.

 

PHYSICAL DEMANDS

Most all of the time is spent sitting in the same position or standing/walking.  There is some requirement to lift or handle material and/or equipment of moderate weight (up to 20 pounds).

 

WORK ENVIRONMENT

  • Minimal hazards. General office working conditions.
  • Occasional overtime work required throughout the year.

 

BUDGETARY RESPONSIBILITY

This position has no direct budget accountability.  However, through performance of its essential functions, the Franchise Coordinator can impact on company costs and profitability.
