We’re seeking a highly organized, people-oriented multitasker to join our team in a dynamic hybrid role that combines Program Administration with Customer Service. This position is ideal for someone who thrives in a fast-paced environment, enjoys solving problems, and can seamlessly manage internal coordination while delivering exceptional client support.
You’ll be the operational linchpin—ensuring programs run smoothly, purchase orders are processed accurately, and customers receive timely, professional service. You’ll also play a key role in export compliance and cross-functional collaboration.

Job Description:
Under general supervision, employee performs all duties associated with customer service and sales in a polite, empathetic and professional manner. Exercises independent judgment and discretion in communicating with customers to ensure satisfaction while adhering to company policies and industry standards.
Key Responsibilities:
Program Administration Responsibilities
- Coordinate and oversee day-to-day operations of assigned programs
- Maintain and update portals for program tracking and reporting
- Collaborate with internal departments to meet program goals and deadlines
- Maintain and distribute weekly Open Orders Reports to assigned customers
- Facilitate RFQs internally with Accounting and Production departments in collaboration with Outside Sales and prepare Quotations accordingly
- Validate incoming purchase orders for accuracy (drawing revisions, pricing, lead times, shipping/payment terms, quality requirements)
- Coordinate contract review with internal stakeholders to ensure prompt customer confirmation
- Process customer purchase orders through Syteline MRP system, optimizing for Production planning
- Perform other essential tasks as assigned
Customer Service Responsibilities
- Serve as the first point of contact for customer inquiries via phone, email, and virtual meetings
- Provide customers with pricing, delivery, and product information in a timely and professional manner
- Monitor and address commercial requirements in customer portals, forward quality and technical requirements to the appropriate CCS Department
- Notify customers of schedule changes and communicate customer change requests to Production
- Act as a liaison between customers and internal departments
- Resolve customer concerns promptly and effectively; escalate complex issues as needed
- Maintain accurate records of customer interactions and feedback
- Correspond professionally and maintain a positive company representation
- Build and maintain strong, positive relationships with customers
Skills and Requirements:
- 2+ years of experience in program coordination and/or customer service
- Legally authorized to work in the U.S. and ITAR compliant
- Exceptional written and verbal communication skills
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Strong digital literacy and ability to navigate customer portals and Syteline MRP system
- Familiarity with Export Compliance regulations
- Ability to acquire and communicate technical knowledge of the company’s product lines, markets, and applications
- Professional presentation and responsiveness to customer and coworker inquiries
- Team-oriented with strong cross-departmental collaboration skills
- Ability to manage multiple tasks and prioritize workload effectively
- High attention to detail, accuracy, and thoroughness
- Continuous improvement mindset
- Adaptability, flexibility, and maturity in representing the company
- Ability to work independently with minimal instruction
- Comfortable sitting for prolonged periods in front of a computer
