Position Summary:
The Product Program Specialist plays a vital role in supporting programs to empower girls and support their development through the planning, execution, and evaluation of key product programs including the Girl Scout Cookie Program and Fall Product Program. Under the direction of the Director of Product Program, this role ensures smooth operations, timely communication, and accurate data handling to support council-wide initiatives. The specialist also provides cross-functional support to other departments and assists with special events during non-peak seasons to support council-wide goals.
What You’ll Be Doing (Key Responsibilities)
Assist in the coordination and logistics of product programs, ensuring efficient inventory tracking, order processing, and delivery scheduling to ensure program success.
Maintain accurate records and databases for troop participation, sales, and rewards.
Resolve inquiries from volunteers and staff regarding product program procedures and timelines.
Contribute to the success of troop leaders and volunteers by supporting training sessions and resource distribution.
Collaborate with the Product Program team to ensure compliance with council and national guidelines to maintain quality programs.
Provide support to other departments and assist with special events during product program off-seasons, including administrative tasks, event setup, and volunteer coordination.
Participate in team meetings and contribute to continuous improvement efforts.
Provide exceptional customer service (phone, email and in person) to families, volunteers and staff to foster a culture of belonging and track all necessary interactions in Salesforce.
Manage product program online systems such as Digital Cookie, ABC Smart Cookies and M2.
Process payments using the point-of-sale systems to support the product programs.
Maintain a professional and customer centric focus while at events and council facilities to promote a welcoming environment.
Requirements
Who You Are and Keys to Success:
High school diploma, high school equivalency or at least one year of customer service experience required; some college work preferred.
Ability to drive a small box truck or be trained upon hire.
Strong organizational and communication skills.
Knowledge of Microsoft Office Suite, including SharePoint, Outlook, Excel and PowerPoint. Preferred experience with data entry systems such as Salesforce.
Prioritize projects to meet deadlines through effective time management and organizational skills.
Can work a flexible schedule, including evening and weekend hours based on programs. Peak season (Feb-April) may require increased availability; off-seasons involve cross-team support.
Work independently, show initiative, is flexible, and thrives in fast-paced ever-changing environment.
Customer-service oriented with ability to communicate in a friendly and professional manner with a range of people.
Collaborates with a diverse team and contributes to a supportive and fun environment.
Willing to work at other locations as needed.
Display high integrity and maintain confidentiality.
Travel within the region and access to dependable transportation is required. A valid driver’s license and use of your own vehicle are preferred. If so, you must comply with the council’s automobile insurance policy limits and have a driving record that meets the requirements of the council’s business auto insurance carrier. If you are unable to drive, a transportation plan must be submitted and approved prior to an official offer being made. The physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee is required to sit at a computer workstation for extended periods of time, occasionally required to stand for long periods, and operate office equipment manually. The employee must be able to lift and/or move up to 25 pounds. Full range of body motion, including manual and finger dexterity and eye-hand coordination.
Willingness to subscribe to the philosophy of the Girl Scout program and enroll as a Girl Scout which includes paying a nominal membership fee, either annually or as a Lifetime membership.
