Reinhardt University is seeking an Office Manager for the Falany Performing Arts Center to add to our staff at the main campus in Waleska, GA.
Position Summary:
The Office Manager performs a wide range of administrative tasks and will report to the Executive Director of the FPAC to facilitate the efficient operation of the FPAC. The Office Manager will also serve as the Box Office Coordinator for the FPAC. MUST BE WILLING TO WORK NIGHTS/WEEKENDS.
Minimum Education & Experience Requirements:
Experience: 2-5 years of customer service or related field
Skills: Knowledge of Microsoft Office Suite. Strong Customer Service
experience. Knowledge of clerical and administrative procedures
such as filing and record keeping. Experience working with the
public. Embrace a passion for the Performing Arts. Exceptional
time management, written, verbal communication, organizational
and inter-personal skills. Ability to multi-task and function at a
high level in a fast-paced environment.
Primary Responsibilities/Essential Job Functions:
- Manage Box Office at professional performances (nights/weekends required)
- Provide administrative and office support for the FPAC
- Manage daily functions of the Box Office
- Phones calls, emails, walk-ins, appointments
- Ensure that all ticketing operations are managed in a timely, accurate, and professional manner.
- Assist in fulfilling contract requirements (hospitality and housing needs)
- Assist with business processes for payables/receivables, including artist payments
- Coordinate and manage time for volunteers and student workers
- Create programs for each performance using provided information
- Manage all operations for ticketing including placing holds, releasing tickets, setting up sales, arranging for pick up or delivery of tickets, monitoring sales, manage Will Call box, work with Business Office for refunds.
- Handle office management and support functions including maintaining office supplies, bulk and direct mail projects, IT needs, and photocopying
- Schedule and coordinate meetings and appointments
- Handle student and faculty needs related to FPAC within Ad Astra
- Oversee customer service guidelines and implement new processes to continue to provide quality customer service
- Upholds the Mission Statement: To serve our students and the community by presenting quality programming at reasonable prices. To provide superior customer service and educational experience to our guests.
- Other duties as assigned
