What you’ll be responsible for:
Reporting to the Vice President of Clinical Operations, the Practice Administrator plays a crucial role in supporting both operational and administrative functions, developing quality assurance benchmarks, driving business growth, and ensuring alignment with Access TeleCare’s broader objectives. The Practice Administrator leads a team to create a highly effective and streamlined clinician onboarding process across all sites of care and to ensure there are appropriate provider panels in place to launch new locations as quickly as possible and to meet or exceed client expectations. The Practice Administrator is responsible for collaborating with internal teams – Legal, Accounting/Payroll, Clinical Recruitment, and Credentialing, Licensing, Privileging and Enrollment (CLPE) - to ensure clinician pay, contracts and recruitment are accurate and meet the needs of the service line.
What you’ll work on:
- Develop and implement an effective clinician onboarding experience that is appropriate for each site of care
- Ensure the availability of necessary resources to support patient care for new and existing programs; always meet or exceed client expectations for launch timing
- Ensure provider pay accuracy working in collaboration with Care Coordinators to gather any necessary inputs; identify root causes for any discrepancies with Accounting and build processes that ensure accuracy
- Work collaboratively with Legal to craft amendments for provider agreements
- Manage all coordination with CLPE and Recruiting teams to ensure work is being completed on time to achieve the service line’s objectives
- Share feedback on technology tools with technology leadership to drive continued improvements
- Collaborate with leaders across other service lines to share and incorporate best practices
- Coach and mentor direct reports, providing a strong employee experience
- Maintain a robust working relationship with individual providers
- Monitor compliance with health regulations and patient care practices, ensuring all initiatives meet the required regulatory standards
- Lead and engage in process improvement activities across departments, coordinating performance improvement activities focused on service lines or organizational quality initiatives
- Contribute to business planning, develop key performance indicators (KPIs), and collaborate with service line leaders to optimize communication, efficiency, and processes
- Stay informed on trends in practice administration, healthcare regulations, and evolving industry standards and clinical trends

Supervisory Responsibilities:
- Provides direct supervision of staff, including assignment of work tasks, coaching and general performance management
- Coaches, develops and mentors direct reports with an emphasis on building career paths for professional growth
- Administers progressive discipline, including corrective action, when necessary, to ensure high levels of job performance and compliance with company policy
- Conducts formal performance appraisals for all direct reports and develops action plans for continued development and performance improvement
- Manages payroll activities for direct reports to include timekeeping, approval for time off requests, and other administrative functions
What you’ll bring to Access TeleCare:
- Bachelor’s degree in business administration, healthcare administration, nursing or a related field
- At least 5 years of relevant work experience in practice administration, with a preference for a background in both inpatient and outpatient medicine
- Experience in leading a team, preferred
- Previous experience in a clinical setting (charge nurse or nurse supervisor) preferred
- Highly effective communication skills (written and oral)
- Proficiency in electronic practice management, health record systems, and Microsoft Office Suite, especially Excel for data manipulation
- Thorough understanding of clinical procedures, medical terminology, healthcare laws, and regulations
- Strong interpersonal skills and the ability to exercise empathy when interacting with hospital partners, physicians, patients, and staff
- Excellent organizational and time management skills with the ability to manage multiple priorities effectively
- Ability to navigate multiple EMR systems and adapt to evolving clinical and administrative needs
- Ability to work independently while functioning as an integral part of a team
- Ability to multitask and prioritize tasks
- Able to act decisively and maintain discretion

- Ability to collaborate across multiple cross-functional teams
- Proven ability to thrive in a high growth, fast-paced organization and Remote based environment
- Must be able to remain in a stationary position 50% of the time
- Occasional travel for meetings and collaboration
