🎯 What You’ll Do in This Role:
As a Scheduling Assistant at Thome PACE, you'll be the vital link ensuring seamless coordination of specialty appointments for our participants. From managing schedules and resolving conflicts to collaborating with providers, transportation teams, and families, you’ll help keep everything running smoothly. Primary Responsibilities
✅ Keep Things on Track: Monitor participant attendance, secure medical records, and maintain accurate documentation.
✅ Coordinate with Care Teams: Work closely with PACE PCPs, transportation staff, and specialty providers to manage authorizations and follow-ups.
✅ Master the Schedule: Accurately enter and update appointment details in the Electronic Medical Record (EMR) system.
✅ Solve Scheduling Challenges: Proactively resolve conflicts and ensure timely accommodations for participants.
✅ Stay Connected: Reach out to participants and families for appointment confirmations and reminders.
✅ Handle the Details: Process and complete all necessary paperwork for specialty appointments.
✅ Be a Team Player: Collaborate with providers, transportation teams, and Day Health Center staff to ensure a smooth experience for everyone.
✅ Support Where Needed: Step in as a backup for the Receptionist when necessary.
✔️ What You’ll Need:
Education: High School diploma or GED, required.
Age Requirement: Must be at least 18 years old.
Scheduling Experience: Previous experience in scheduling, especially in healthcare or a service-related field, is a big plus!
Medical Knowledge: Familiarity with medical terminology is helpful but not required—we’re happy to help you learn!
Tech-Savvy: Comfortable using Microsoft Word, Excel, and Outlook to keep things running smoothly.
People Skills: Strong customer service and phone communication abilities to create a great experience for participants and providers.
Detail-Oriented: A natural problem-solver with top-notch organizational skills and a sharp eye for details.
