Ontario Health seeks an experienced, resourceful Executive Assistant to support a member of our Senior Leadership team. As Executive Assistant, you will be a trusted partner to senior leadership, providing high-level administrative support and ensuring smooth day-to-day operations. Your role is pivotal—balancing executive needs, coordinating complex schedules, and acting as a liaison with internal and external stakeholders, including the Ministry of Health and Ministry of Long-Term Care.

Key responsibilities include:

  • Managing executive calendars, prioritizing and scheduling meetings, and coordinating travel and logistics.

  • Preparing reports, presentations, briefing notes, and meeting materials.

  • Tracking and monitoring action items, ensuring follow-up and resolution of key issues.

  • Supporting portfolio engagement initiatives such as town halls and employee engagement events.

  • Acting as the primary point of contact for inquiries, triaging and resolving issues efficiently and with discretion.

  • Facilitating information flow and document management to support executive decision-making.

  • Maintaining strong relationships with internal leaders and external partners to drive organizational objectives.

  • Recording meeting minutes and communicating committee decisions, ensuring timely completion of follow-ups.

  • Identifying and escalating urgent matters as needed to minimize risk and ensure continuity.

  • Initiating process improvements to streamline office operations and maximize efficiency.

Here is what you will need to be successful:

Education and Experience

  • Completion of college diploma or equivalent required.      

  • 3-5 years of experience in related field; experience providing senior level administrative support in a health-related organization is preferred

Knowledge and Skills

  • Executive office administrative practices, protocols, methods and procedures to coordinate and deliver a range of executive and administrative services and support to senior executives.

  • Knowledge of information databases to coordinate executive program/project databases and related file management systems; computer technology systems and applications (e.g.  word-processing, spreadsheet/graphics computer software packages) to prepare executive level correspondence, reports, charts, presentations, and spreadsheets. 

  • Analytical and problem-solving skills to investigate the urgency and importance of matters/issues and bring to the attention of the executive; research and resolve issues; make minor modifications to existing procedures as needed; use discretion in dealing with sensitive issues and maintaining appropriate levels of confidentiality.

  • Interpersonal, relationship management and verbal and written communication skills, using active listening and empathy to maintain strong working relationships with executive leadership teams; communicate non-routine information; track and monitor action items on committees/projects to identify potentially contentious issues for executives; prepare a variety of executive level documentation, briefing materials, meeting minutes.  

  • Planning, organizational, time management and team-oriented skills to manage multiple tasks and provide support to multiple individuals in the presence of frequent interruptions to meet deadlines; work well both independently and within a team in a dynamic, fast-paced environment. 

  • Excellent verbal and written communication skills

  • Extensive experience in a Microsoft Office environment is required

  • Superior organizational and time management skills

  • Demonstrated initiative and the ability to work independently and within a team environment

  • Ability to manage multiple tasks and provide assistance to multiple individuals in the presence of frequent interruptions

  • Demonstrated ability to prepare briefing notes, minutes, clear correspondence and summaries of decisions made, and further actions identified over the course of a meeting

  • Ability to use discretion in dealing with sensitive issues and maintaining appropriate levels of confidentiality

  • Excellent understanding of privacy and confidentiality
