What you’ll do at Elekta

As a Service Support Specialist, you will play a key role in ensuring smooth operations across service, sales, and marketing functions. You’ll be the backbone of our customer-facing teams, supporting engineers, managers, and account teams to deliver exceptional service and operational excellence.

Key Responsibilities

Service Support

  • Administer and assign engineers’ work orders and documentation.

  • Manage source and seeds ordering, exchanges, and logistics coordination.

  • Process customer spares orders, quotes, returns, and commercial shipments.

  • Distribute and administer TLD badges and calibrated tools.

  • Handle Field Change Orders (mandatory and non-mandatory).

  • Attend daily team meetings to prioritize workload.

  • Maintain engineers’ diaries and support scheduling.

  • Assist Regional Service Managers with Preventative Maintenance planning.

  • Ensure continuous customer communication and case updates.

  • Collaborate with Field Service Engineers to optimize service delivery.

Sales Support

  • Act as the first point of contact for sales and service queries.

  • Qualify leads and route them to Account Managers.

  • Prepare and distribute quotes with Account Manager support.

  • Process sales orders in line with Elekta’s procedures.

  • Maintain accurate data in CRM and financial systems.

  • Coordinate with logistics and order fulfillment teams.

  • Set up suppliers, process POs and invoices.

  • Support customer training logistics and reimbursements.

  • Manage returns and replacements for Brachytherapy and commercial items.

Tender & Contract Management

  • Coordinate tender submissions from publication to delivery.

  • Collaborate with sales, legal, and finance teams to ensure quality and compliance.

  • Manage handover from Sales to Order Fulfillment.

  • Ensure smooth transition of orders from Salesforce to Movex.

  • Handle small-value projects (e.g., Brachy Applicators).

  • Identify and implement process improvements to enhance customer satisfaction.

Marketing Support

  • Organize local marketing events and customer visits.

  • Support international conference planning (e.g., ESTRO, ASTRO).

  • Drive improvements in customer experience during marketing interactions.

What you bring

  • Proven experience in service operations, sales support, or administrative coordination.

  • Strong organizational and multitasking skills.

  • Excellent communication skills, both written and verbal.

  • Proficiency in CRM systems (Salesforce) and ERP systems (Movex preferred).

  • Ability to work collaboratively across departments and with external stakeholders.
