Position Overview:
The Development Communications Coordinator plays an important role in maintaining and implementing sponsor recognition across multiple channels and participates in proofing all outbound Seattle Symphony and Benaroya Hall communications for accuracy and consistency. The Coordinator is responsible for creating multi-channel communications in support of our fundraising objectives. In particular, the Coordinator is heavily involved in email communications focused on donor events, as well as other key stewardship communications. Attention to detail and the ability to work independently and stay organized in a fast-paced environment is essential to being successful in this role.
The Coordinator position provides opportunity to learn best practices for fundraising communication and manage projects across different campaigns. The ideal candidate will be eager to learn and contribute to a fundraising team, be able to take direction from a variety of stakeholders, work as part of a team and independently to deliver projects on time, seek clarity when needed, and have an aptitude for mastering relevant functions in Asana, our project management platform, and Prospect2 (ActiveCampaign), our email marketing platform. The Development Communications team works closely with colleagues across departments, and we have a high standard of collaboration and teamwork across the organization.
In addition, members of the Development Department are expected to regularly work on-site for concerts and donor events throughout the season. Most of these shifts fall outside of regular business hours, including evenings and weekends.
This position is eligible for a hybrid in-person/remote work arrangement after onboarding milestones are achieved. The responsibilities of this role require regular in-office work at least 3 days per week. The Seattle Symphony will provide a laptop, but the employee is required to have their own access to a high-speed internet connection for any remote work.
Essential Job Functions:
· Maintain accurate records of all sponsorship inventory and recognition preferences using Asana project management application; liaise with key partners to ensure all sponsors are recognized in an appropriate manner; proof for accurate donor and sponsor recognition in all materials.
· Draft, route, refine and deploy a high volume of communications.
· Manage design projects to produce print and digital assets for fundraising in partnership with our in-house design team.
· Manage event invitations, reminders, confirmations, etc. through print and email to ensure accurate, relevant, timely and consistent communication with invitees.
· Master essential functions in our email marketing platform, Prospect2 (ActiveCampaign), to support frequent campaigns and automations.
· Participate in weekly cross-departmental communications planning meetings and ensure all projects are appropriately documented and managed through the Asana application.
· Assist in maintaining accurate donor listings in the Encore concert program and on the Symphony’s website.
· Regularly update copy for solicitation materials and acknowledgement communications to support a range of stewardship goals and giving priorities.
· Proofread and provide edits on all organizational communication routings to ensure accuracy, quality and adherence to the Seattle Symphony’s style guide.
· Work events as required; some evening and weekend work is required, approximately 2 to 4 times a month on average during the busy concert season.
Requirements
Qualifications:
· Minimum of one year experience in a high-volume, fast-paced role; relevant nonprofit experience preferred
· Exceptional verbal and written communication skills
· Well-organized, detail oriented and demonstrated ability to meet deadlines
· Ability to master technical and detailed tasks quickly and consistently maintain a high level of quality and accuracy
· Proficient user of Office365, including Excel, Word and Outlook
· Knowledge of and enthusiasm for learning fundraising and email best practices
· Ability to work independently and as part of a team in a dynamic, fast-paced environment
· Ability to adhere to Symphony policies and support management decisions in a positive and professional manner
· Availability to flex schedule outside of typical office hours, including evenings and weekends
· Experience using Prospect2 (ActiveCampaign) or other email marketing platforms, Asana or other project management applications, and Tessitura or another fundraising CRM is a plus
· A passion for live music and the performing arts is also a bonus
