Job Overview
The Facilities Manager will oversee the daily operations for a luxury condominium in Boston's South End. This is a full-time, hands-on, 40 hour per week position. This is a hands-on position which requires a hands-on oriented individual with experience in the property management and/or hospitality industries. This position works directly with residents of the property, staff and vendors.
Responsibilities
- Establish schedule and responsibilities of in-house facilities staff to ensure maintain appearance and efficient operation of the property
- Establish and coordinate emergency maintenance and on-call procedures.
- Routinely inspect common areas, mechanicals, utility distribution systems, and grounds, making recommendations to General Manager and Board of Trustees when necessary.
- Coordinate and supervise contractors working in common areas.
- Assist General Manager with developing annual operating budget and maintaining reserve study.
- Coordinate annual, quarterly, and monthly maintenance tasks and inspections in accordance with contracts in place.
- Ensure maintenance requests for common spaces are completed in a timely manner; provide support to residents with in-unit maintenance requests.
- Review all unit renovation requests to ensure compliance with building policies and building codes. Coordinate interruptions of common utilities as needed.
- Follow and maintain preventive maintenance procedures and schedules, including scheduled maintenance on all equipment based on the manufacturers’ recommendations and operating manuals.
- Responsible for stock control and utilization of facilities and janitorial supplies.
- Assist General Manager in procuring and reviewing proposals from new contractors.
- Assist in maintaining records and data regarding operation and maintenance for all building systems, records, vendors, procedures, as necessary for ongoing building management.
- Other responsibilities as assigned by General Manager or Board of Trustees.
Requirements
- Minimum High school education or equivalent; Undergraduate degree preferred
- Minimum of 5 years of experience in facilities management
- Must have valid MA driver’s license
- Experienced in supervising all general maintenance, repair work, refurbishment, and upkeep, including plumbing, electrical, drywall, grounds, concrete, flooring, painting and finishes
- Strong familiarity with HVAC and other mechanical systems including but not limited to building automation systems, boilers, chillers, rooftop units, and air handlers
- Demonstrated ability to manage and supervise contractors
- Ability to supervise, teach and motivate both-in house and 3rd party staff
- Knowledge of standard maintenance and safety practices and procedures
- Exceptional customer service skills
- Highly organized with ability to prioritize to meet deadlines
- Strong attention to detail
- Project management experience is a plus
