Position Summary:
The Community Compliance Officer is an integral part of the Community by assisting with improving the quality and values of our community and our residents. The Compliance Officer is responsible for conducting inspections of homes and sites to ensure the community is well maintained and meets Roberts Community curb appeal standards.
Performance Objectives:
- Must become well educated on Community Lease Agreement, Lease Addendum, Addendums, and Community Rules and Regulations
- Conduct daily, weekly, monthly and annual exterior inspections on homes and home sites
- Conduct regular rule violation inspections
- Demonstrate excellent customer service skills and a positive attitude; develop great rapport with current residents to encourage referrals
- Conduct follow-up community inspections, keeping all inspections organized at all times
- Meet with residents to discuss rule violations and work out the proper time frames for the rule violation improvements
- Inspect vehicles for proper registrations and properly tag vehicles for towing if needed
- Inspect inoperable vehicles and properly tag vehicles for towing if needed
- Scan inspections and violation notices into each resident's file
- File inspection and violation notices in a timely manner
- Additional or modified duties as assigned within the Company’s discretion
Requirements
Key Competencies:
- Regulatory knowledge: Comprehensive understanding of relevant laws, regulations, and industry standards pertaining to compliance within the specific domain, ensuring adherence to legal requirements and best practices.
- Attention to detail: Meticulous in conducting violation inspections and notices, as well as 5-point inspections, ensuring accuracy and thorough documentation of findings to support compliance efforts.
- Timely follow-up: Proactive in following up on home site inspections within 48 hours, and 5-point inspections within the designated 6-month timeframe, ensuring prompt resolution of issues and compliance with established timelines.
- Effective communication: Strong verbal and written communication skills to effectively communicate compliance requirements, findings, and corrective actions to stakeholders, fostering understanding and cooperation.
- Analytical skills: Ability to analyze data and identify trends related to compliance issues, enabling proactive identification and mitigation of potential risks or violations.
- Problem-solving abilities: Resourceful in resolving compliance-related challenges and addressing complex issues, leveraging critical thinking and creativity to develop effective solutions.
- Organizational skills: Capable of managing multiple tasks and priorities simultaneously, maintaining organized documentation and records related to compliance activities, inspections, and follow-up actions.
- Adaptability: Flexible and adaptable to changing regulatory requirements and organizational priorities, adjusting compliance strategies and approaches as needed to meet evolving needs and mitigate risks.
- Commitment to customer service: Dedicated to providing exceptional customer service to residents and stakeholders, reflected in a quarterly customer service rating of __%, by being responsive, respectful, and proactive in addressing concerns and inquiries related to compliance matters.
Education & Experience:
- High School diploma or GED
- Valid Driver’s License
- Must be able to operate a golf cart safely
- Must be able to walk several home sites per day
- Professional phone presence when talking to customers
- Strong verbal and written communication and interpersonal skills
- Ability to fluently read, write and speak English and Spanish
- Ability to work in a fast-paced and rapidly changing environment
- Proficient in basic computer programs including MS Office-Word, Excel and Outlook
- Ability to work well independent and on a team
Physical Requirements:
- Constantly sit, talk, or hear; Frequently use hands.
- Manual dexterity for handling paperwork and using office equipment.
- Clear vision and hearing for reviewing documents and communicating effectively.
- Capability to lift up to 20 pounds.
