SCOPE OF WORK:
The Tribal Election Coordinator serves as an assistant to the Tribal Election Supervisor; who oversees all Tribal, Special and Recall Elections. Duties are performed as required by Title XV, XIX and XX of the Code of Justice. The Coordinator maintains updated lists of all Tribal Elected and Appointed Board and Commission Members and District Officers including District Planning Commission Members.
DUTIES AND RESPONSIBILITIES:
- Prepares and issues all Tribal Election Proclamations in accordance with Title XV. Publishes in local newspaper.
- Requests Local District appointment of Tribal Election Commission members. Ensures that the Tribal Election Commission members are qualified and sworn into office.
- Assists in the recruitment and appointment of Election Officials, Election Judges and clerks. Ensures that the Election Officials are qualified and sworn into office.
- Prepares and issues Nominating Petitions for Tribal Elective Office to prospective candidates.
- Requests verification of debts from tribal agencies and felony record checks on candidates as required by Title XV.
- Prepares and issues Notice of Primary Election listing all candidates found eligible by the Tribal Election Commission. Publishes in local newspaper.
- Prepares and issues Notice of General Election as required by Title XV.
- Prepares forms and ballots for printing prior to the Primary, General or Special Election as required by Title XV.
- Prepares notice that absentee ballots are available. Ensures by assisting the Election Supervisor that voting by absentee ballot is conducted in accordance with Title XV. Maintains records of absentee voting as required by Title XV.
- Prepares official results of tribal elections for certification to the Tribal Council by the Tribal Election Commission.
- Tests eligibility of individuals who are nominated to fill vacancies on Local District Councils and Tribal Boards or Commissions. Issues eligibility forms to those individuals who are nominated. Notifies Tribal Chairman and Nominee of eligibility and ensures that Nominee is properly sworn into office.
- Issues Recall Petitions and Recall Procedures up requests.
- Maintains all department records and files. Secures confidential files.
- Assists with incoming and outgoing telephone calls.
- Pays program bills.
- Performs other clerical duties as required by Titles XV, XIX and XX of the Code of Justice.
QUALIFICATIONS:
- Minimum of an Associate’s Degree in a Business-related field required. Bachelor’s degree preferred. In lieu of minimum education requirement. Will consider: High School Diploma with five (5) years of experience in planning, managing and coordinating administrative support services.
- Must be computer literate, possess good typing skills.
- Must have two years’ experience in administrative work.
- Must possess the ability to work well with staff and the general public.
- Must possess telephone etiquette.
- Must be able to make decisions independently on routine office business.
OTHER REQUIREMENTS:
- Must receive training on the Code of Justice, Titles XV, XIX and XX and SRST Records and File Disposition Manual.
- Must sign a confidentiality statement and drug free workplace statement.
This position is a full-time position. The Tribal Election Coordinator works under the supervision of the District Compliance Officer.
