Summary:

The First Impressions Team Member plays a crucial role in supporting our purpose of creating lasting value for those we serve by serving as a key interface and essential contact for all internal and external customers. This individual provides the first impression to many customers and visitors by answering and directing incoming calls, greeting guests, and ensuring a positive, inviting atmosphere. In addition, this role supports a wide variety of administrative and project-based duties, including several FIT team responsibilities, to ensure smooth operations across the organization. The First Impressions Team Member promotes our culture, our 5 P’s, and our purpose to create lasting value for those we serve.


Key Responsibilities & Essential Functions

Customer Service & Front Desk Support

  • Answer a high volume of incoming calls daily with professionalism and excellent customer service. 
  • Aid customers by forwarding inquiries, taking accurate messages, or personally assisting to ensure prompt resolution.
  • Welcome and direct on-site visitors, announce arrivals, and maintain an inviting reception area.
  • Sort and distribute incoming mail, faxes, and packages.

Administrative & FIT Team Duties

  • Maintain and monitor conference room scheduling, coordinate room setup, food, and beverage service for training classes, meetings, and company events.
  • Support celebration meetings by preparing invitations, coordinating presenters, set-up, and cleanup.
  • Order, stock, and organize breakrooms, supplies, snacks, and beverages.
  • Manage office orders (including Sam’s Club, Office Express, and Baker Paper) and maintain stock levels of essential items.
  • Provide document destruction/shredding scheduling and oversight.
  • Maintain negotiated hotel rates in SharePoint, process travel arrangements, and support expense reporting (Concur).
  • Provide administrative support for community impact events, National Accounts, marketing projects, and employee-owner activities.
  • Assist with employee-owner recognition programs (anniversary coins, photo wall updates, and celebration events).
  • Update spreadsheets, track invoices, and support reporting as needed.

Tours & Company Representation

  • Coordinate and schedule company tours, ensuring professional set-up and a positive experience for guests.
  • Promote company culture and values during customer, vendor, and community visits.

Job Requirements/Specifications

  • High School Diploma or GED required; some college preferred.
  • Minimum 1 year of customer service or related experience required.
  • Prior administrative or office support experience strongly preferred.
  • Demonstrated proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Ability to learn and use internal systems (SharePoint, Concur, order entry, etc.).
  • Previous call center or multi-line phone system experience preferred.

Work Environment & Physical Demands:

  • Consistently sitting, working with hands & fingers, talking, hearing, works with others, customer contact, and works indoors

Please note that compensation may be below the lower end of the range when the minimum requirements of the role are not met and the higher end is reserved for candidates with extensive experience and qualifications that exceed the requirements of the role.
