Summary of Position:

The Administrative Assistant - Land Use Planning position role is perfect for someone who thrives in a fast-paced environment, enjoys supporting others, and takes pride in ensuring details are accurate and on time. This individual will be the main support for our Planning team.

Responsibilities:

  • Provide administrative support to Planning Department staff as needed to help with project management, recordkeeping, and tracking.
  • Finalize documents using Word and other programs, ensuring they meet company formatting and grammar standards – including letters, memos, reports, spreadsheets, and more.
  • Maintain organized records of applications, permits, licenses, and related correspondence.
  • Save submittals, letters, and approved permits as PDFs according to company standards.
  • Complete agency-related documents such as application forms, licenses, checklists, bonds, and reports as required.
  • Coordinate contracts, forms, and schedules with outside consultants, vendors, and regulatory agencies.
  • Prepare cover letters, application forms, and compile technical reports, plans, and other materials needed for agency submittals.
  • Update and manage spreadsheets, task lists, memos, and other materials related to internal programs.
  • Support internal project administration by setting up new project numbers, organizing billing reports, preparing/tracking contracts, and following up on outstanding invoices.
  • Participate in meetings to review project updates, receive assignments, and take meeting notes as necessary.

Qualifications:

  • Associates and/or bachelor's degree preferred but not required
  • Any combination of related business coursework, administrative certification or record keeping
  • Proficiency with Word, Excel, and similar programs – strong spelling and grammar
  • Strong attention to detail, concentration, and flexibility (to switch between multiple tasks quickly as needed)
  • Interpersonal excellence
  • Perform required duties accurately and in an efficient manner
  • Excellent time management skills

Team:

This position will support a group of our engineers based out of our Kent office.


Work Location:

This is an on-site role out of our Kent, WA office.
