Class VIII - Transportation Secretary

Salary: $29,935

 

MAJOR FUNCTION: In accordance with established procedures, perform efficiently and accurately the detailed
clerical and secretarial functions to support Transportation Services

 

ESSENTIAL FUNCTIONS: Employee must have the ability to perform the following essential functions on a timely
basis with or without reasonable accommodations.

 

- Respond to various communication, such as phone calls, e-mails or website comments, take messages and handle
correspondence
- Obtain, process and prepare driver and attendant payroll weekly
- Schedule appointments, meetings, professional development sessions, and interviews
- Type, prepare and collate reports
- File various documents physically and digitally
- Manage and maintain transportation shared folder
- Initiate outbound communications to various stakeholders, such as parents, schools (Public, Charter, and Non-
Pub), administration, drivers or dispatchers, etc.
- Create purchase orders and receive invoices from vendors for processing
- Obtain and process information necessary for student bus routing, state subsidy, contracts, employee credentials,
SEPTA, GPS, supplies and inventory as assigned
- Oversee SEPTA KeyCard program coordinating with social workers and schools
- Maintain various logs: Student Incident, Driver Attendance, Accidents, etc.
- Support recruiting efforts – Interviews, TalentEd, Support prospective employees with background checks, etc.
- Perform other duties as assigned

 

ADDITIONAL FUNCTIONS: In addition to the foregoing essential job functions, the employee is required to perform
the following additional duties, unless such a duty cannot be performed with or without reasonable accommodation.

QUALIFICATIONS: To successfully perform this position, a person must be able to perform each primary duty
satisfactorily. The qualification requirements listed below represent minimum levels of educational achievement, training,
skills, and/or ability necessary.
1. Organization Skill – Must be able to property categorize, file and track documents in an orderly fashion
2. Communication Skill – Must be able to listen to various concerns and respond professionally and courteously on
behalf of the Manager of Facilities
3. Computer Skill – Word processors, document scanners, databases and other computer applications needed.
Training will be provided to properly use programs used in the Upper Darby School District, such as
eFinancePlus, GPS system, and Routing system.
4. Writing Skill – Must be able to write emails, messages, memoranda and other documents with good
understanding of grammar and syntax. Typing Speed 55 words per minute
5. Minimum High School DiplomaPrimary

 

PHYSICAL REQUIREMENTS: The physical demands described here are representative of those that must be met to
successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals

A. While performing the duties of this job, the employee is required to maintain a stationary position and move
about to access file cabinets, office equipment, etc.

B. The employee is frequently required to communicate, to provide accurate information to others, and to obtain
and follow directions.
C. The position requires the employee to constantly operate a computer and other office equipment such as a copy
machine, fax, and printer.
D. Ability to lift and/or exert up to 20 lbs. of force to occasionally move objects.
E. This job requires the ability to observe, inspect, identify, and determine accuracy of written documentation and
fine details.
F. The position requires meeting deadlines with severe time constraints, interacting with staff and the public, and
occasional, irregular, or extended work hours.
