Institute of Diagnostic Imaging is seeking a compassionate, detail-oriented, and reliable Patient Coordinator to join our front office team on an as-needed basis for weekend shifts. Weekend shifts include Friday and Saturday, 7:00 am to 7:00 pm, and Sunday as needed. 


This role is essential for ensuring smooth weekend operations and delivering exceptional service to our patients and their families. The ideal candidate will be a highly organized, self-starter who can manage multiple priorities in a fast-paced environment with minimal supervision.


Responsibilities

  • Weekend Coordination: Serve as the first point of contact for patients and visitors on weekends, managing patient check-ins and check-outs, and scheduling follow-up appointments.
  • Scheduling and Communication: Answer and direct incoming phone calls, emails, and inquiries from patients and other medical staff. Efficiently manage and adjust the weekend patient schedule to optimize patient flow.
  • Patient Records Management: Accurately update and maintain patient records, ensuring all documentation is complete and confidential in compliance with HIPAA regulations.
  • Administrative Tasks: Collect co-pays, verify insurance coverage, and process necessary patient forms. Assist with general office duties and special projects as requested.
  • Problem-Solving: Address patient concerns and questions promptly and professionally and escalate complex issues to the appropriate personnel.
  • Team Collaboration: Work effectively with clinical staff, including doctors and nurses, to ensure seamless weekend patient care and communication.

The Business Office Team is responsible for collaborating and leading the Imaging Center team in providing excellent patient care and supporting the operational goals for both the Center and the organization. This includes all customer and patient-facing responsibilities including welcoming, registering, and overall patient coordination, as well as phone correspondence, scheduling appointments, inventory, and medical record management. The upper levels of this series also include the training, supervision, and management of Business Office team members. The overall scope for this series is designed to ensure the management and resources are available to maintain a quality, high functioning, and customer friendly Outpatient Imaging Center.

Requirements

EDUCATION:

  • To be competitive, must have high school diploma or general education degree (GED).

SKILLS/ABILITIES:

  • Experience: A minimum of 1–2 years of experience in a medical office, clinic, or healthcare customer service setting is preferred.  We are willing to train the right candidate. 
  • Education: A High School Diploma or GED is required.
  • Weekend Availability: Must be available to work on an as-needed basis on weekends, with a flexible schedule.
  • Technical Skills: Proficiency with computer systems, including Microsoft Office, is required. Experience with an Electronic Medical Records (EMR) system is a plus.
  • Communication Skills: Exceptional interpersonal and verbal communication skills, with a compassionate and professional telephone voice.
  • HIPAA Knowledge: Strong understanding of and commitment to maintaining patient confidentiality and HIPAA guidelines.
  • Work Ethic: Demonstrated adaptability and a strong work commitment to maintain high standards of performance. Ability to work independently and multitask.
  • Ability to provide documentation accurately and concisely.
  • Knowledge of medical terminology.
  • Knowledge of computer applications and Microsoft Office
