Position Summary

The Testing/Scheduling Specialist is responsible for administering initial and follow up TABE testing and scheduling in compliance with Policy and Requirements Handbook (PRH) Appendix 301 to ensure students are placed in the appropriate level of reading and math instruction.


Essential Functions

  1. Coordinate and disseminate TABE testing schedules to ensure students test within PRH time limits and follow up with students regarding test results.
  2. Meet with programs area department heads to discuss TABE testing needs and plan services.
  3. Preserve a standardized testing environment at all times to promote equity, data integrity and accurate results.
  4. Review documented accommodation plans prior to testing and ensure appropriate accommodations are provided for each student in collaboration with the Disability Coordinator.
  5. Ensure documentation indicating students have met PRH minimum required instructional hours has been received prior to administering follow-up TABE tests.
  6. Attend all PRH-required TABE Administrator training as required and maintain documentation of attendance.
  7. Function as test proctor for other areas as needed within the academic and career technical training areas. Assist with other testing scheduling, coordination, and transportation, as necessary.
  8. Maintain strict data integrity in compliance with PRH 3.1 and 3.2 and corporate procedures to ensure the fidelity of test results.
  9. Work with Records Department to ensure all student testing records are scanned and filed electronically and physically in students’ personnel records.
  10. Ensure computers used for testing are regularly swept for unauthorized downloads and cleaned in collaboration with the IT area.
  11. Create class schedules for all students in the Center Information System (CIS) in collaboration with counselors and management and update weekly or biweekly as needed.
  12. Ensure student schedules allow for a full training day of required classes and meet the individual learning needs of respective students including in the areas of Career Preparation, Academics, Career Technical Training, Work-Based Learning, Advanced Career Training, and Career Transition Readiness.
  13. Work with the Evening and Weekend Studies Coordinator to appropriately assign students to evening and weekend courses in CIS.
  14. Maintain procedures for accepting schedule changes in consultation with center management and adjust students’ schedules as necessary in advance of the effective week.
  15. Update CIS as students complete courses and ensure the CIS course enrollment histories accurately reflect when students enroll, complete, or drop classes.
  16. Prepare and distribute reports regarding class absences and assist students who have questions regarding absences, including clearing excused absences as appropriate.
  17. Work closely with the Center Standards Office to administer rewards and sanctions for attendance and results as applicable to promote a positive culture and learning environment.
  18. Provide positive, quality customer services to students and staff.
  19. Maintain accountability of staff, students, and property and adhere to safety practices.
  20. Participate in department meetings and all mandated PRH and Strategix training.
  21. Promote a harassment-free environment.
  22. Utilize information systems and handle student data in strict adherence to Job Corps and Strategix policies to protect student’s personally identifiable information (PII) and reduce network security threats.

Requirements

Qualifications and Experience Minimum

Post-secondary degree in work-related field and two years of related experience or equivalent combination of education and experience. High level of conflict-resolution skills. Effective relationship- building skills with students and staff. Information technology proficiency including MS Office. A valid driver’s license in the state of employment with an acceptable driving record is required.


Preferred

Bachelor’s degree in related field, instructional experience, and previous Job Corps experience.
