Job Overview
The part-time clerical will work with the Mentoring and Coaching Office to provide financial, record-keeping, data entry, clerical, and administrative support for the program. The work encompasses a range of office activities, including producing program materials, preparing and communicating program information, working with schools and other LCPS offices to coordinate mentor assignments, and assisting with processing program expenses.
Roles and Responsibilities
The following information is intended to describe the overall nature and scope of the work being performed. This is not a comprehensive listing of all responsibilities or tasks; work may differ and other work may be assigned when deemed appropriate.
- Uses word processing, spreadsheets, and data entry.
- Responds to email requests for information from LCPS staff members.
- Compiles accurate financial records for co-curricular stipends and part-time payroll in accordance with appropriate accounting procedures set forth by the state, Loudoun County Public Schools, and the Superintendent.
- Prepares monthly reports to track retention and program evaluation data for proteges, mentors, and lead mentors.
- Utilizes the Mentoring and Coaching database to assist with mentor pairing assignments including inputting information, auditing monthly reports, and supporting stakeholders with system usage.
- Assists the Mentoring and Coaching Office with the professional learning system to monitor and approve monthly mentor, lead mentor, and protege log activity.
- Support the Mentoring and Coaching Office by creating courses in the professional learning system and submitting attendance.
- Audits incomplete data in the Mentoring and Coaching online application.
- Prepares a variety of routine correspondence, program information, and other related paperwork to ensure accuracy and completeness.
- Maintains office files and records for reporting program evaluation.

- Knowledge of standard office practices and procedures, including Microsoft Office
- Strong knowledge of Microsoft Excel, including the ability to create and analyze spreadsheets with large amounts of data
- Ability to independently perform office work with accuracy, adherence to established deadlines, and communicate effectively; work cooperatively with others; and work under pressure with frequent interruptions

Employees who are non-exempt and are teleworking will work their required scheduled hours and gain approval from their supervisor if they work more than 8 hours a day or more than 40 hours in a workweek. Teleworking privileges can be amended, changed, or revoked based upon the performance of the employee, as well as the needs of Loudoun County Public Schools.
