Summary
The Project Coordinator plays a critical role in supporting project managers and cross-functional teams to ensure the efficient execution of project deliverables. This role is responsible for maintaining project schedules, coordinating resources, and streamlining workflows to avoid unnecessary tasks and delays. The ideal candidate is highly organized, proactive, and capable of managing multiple priorities in a dynamic environment.
Core Responsibilities
Project Coordination and Administrative Support
- Monitor master schedules and work orders to establish priorities and adjust timelines based on project specifications, resource availability, and operational needs
- Participate in client and team meetings to assess project progress and identify follow-up actions
- Provide administrative support including calendar management, meeting coordination, travel arrangements, time entry, and expense reporting
- Compile and distribute progress and downtime reports to relevant stakeholders
Vendor Management and Procurement
- Lead and coordinate vendor routing through the Third-Party Agreement (TPA) workflow
- Conduct procurement reviews to ensure compliance with internal policies and standards
- Build and maintain strong relationships with vendors and partners to support collaboration and alignment
Vendor Onboarding
- Manage the full onboarding lifecycle for new vendors, ensuring all documentation and approvals are secured
- Serve as a liaison between Legal, Finance, Compliance, and Partner Management teams to facilitate smooth onboarding
- Ensure vendors are properly integrated into company systems and operational processes
Process Management and Strategic Engagement
- Develop and implement centralized processes for managing NDA and TPA workflows across teams
- Own execution and oversight of these workflows, driving improvements in compliance and operational efficiency
- Support strategic vendor agreements and partnerships that contribute to the company’s product and technology roadmap, including next-generation wearables and advanced AI initiatives
Minimum Qualifications
- Bachelor’s degree or equivalent professional experience
- 4–6 years of project management or coordination experience
- Strong relationship-building skills with the ability to engage and influence stakeholders
- Proven ability to manage projects and programs from planning through execution
- Excellent written and verbal communication skills, with the ability to convey timelines, business rationale, and updates across teams
- Familiarity with legal documentation, including contracts, NDAs, and vendor agreements
Preferred Qualifications
- Experience with project management tools such as Asana and other collaboration platforms
- Technical background or understanding of technology to effectively engage with technical teams and vendor products
- Experience in a research, tech, or innovation-driven environment
