The Food Program Coordinator is responsible for managing in the day-to-day operations of the grocery center programs in designated geographic area. Individual accountabilities and work volume will be established through the development of annual Success Objectives, within the framework outlined below.

Essential Duties and Responsibilities:

  • Manage the day-to-day operation of the grocery center including the ordering food after assessing shopping patterns and cultural preferences of participants to provide a healthy array of products to meet the distribution needs of the grocery center. Coordinate and communicate with vendors for purchase of required food and other commodities within approved budget; follow purchasing processes and procedures; coordinate the stocking of pantry commodities in a timely fashion utilizing FIFO (first in first out) method; schedule volunteers to staff the center for operation and supervising the fulfillment of participant orders. Follow current policies and procedures to ensure services are limited to authorized participants.
  • Manage the daily operation of the home delivered grocery services (as appropriate) scheduling volunteers, coordinating routing and food preparation and providing supervision at the staging site, as needed. Communicate changes in participant status or nutritional needs as indicated. Track home delivery services on tracking log that includes participants name or client ID number, date of service and number of weeks received.
  • Ensure grocery center operation and processes (receiving, storage, inventory, distribution etc.) are aligned with local, state and federal food safety and sanitation guidelines.
  • Report information regarding participant services and status for input into the database and maintain participant files as needed for funder requirements.
  • Cooperate with the Community Dietitian to organize nutrition educational opportunities and schedule nutritional counseling with individual participants.
  • Cooperate with DECM to recruit, orient and maintain an adequate corps of volunteers to meet service delivery needs. Design, and implement a targeted recruitment plan. Participate in volunteer orientation and provide on-going supervision and recognition to volunteers.
  • Oversee the grocery facility, reporting maintenance problems to Manager.
  • Participate in program planning and establishing annual program objectives. Participate in quarterly reviews and evaluation of progress toward objectives.
  • Maintain relationships with area HIV/AIDS service providers, including internal agency programs to facilitate participant intake and enhance participant services. Participate in area caucus meetings, as appropriate.
  • Create and carry out community outreach according to approved plans to inform the community of the services available and encourage their participation as volunteer or through in-kind support.
  • Recruit and provide staff services to an area Advisory Committee or other participant/community feedback mechanisms which will provide on going feedback on service delivery and participate in annual program evaluation.
  • Participate in regular program coordination meetings and in other staff meetings as indicated.
  • Comlete program projects and assist with other agency projects, as assigned.
  • Other duties may be assigned that support the mission, strategic goals, and program funder rules.

Education and/or Experience:

  • Prefer a Bachelor’s Degree plus a minimum of three years’ of retail/food service experience or relevant work in community with at least one of those years in a supervisory role.
  • Required a HS diploma plus a minimum of five years retail/food service experience or relevant work in the community with at least two of those years in a supervisory role.
  • Required to have and maintain a valid Certified Food Protection Certification and License.
  • Other Skills and Qualifications:
  •  Ability to work in team environment
  • Some lifting of boxes and bags required.
  • Demonstrated ability to work with and be sensitive to persons with disabilities, and persons from diverse ethnic and cultural backgrounds.
  •  Required to have a valid Driver’s license with at least three years with the DMV account and ability to use organizational vehicle as the duties require transporting program supplies.

Language Skills:

  • Excellent oral and written communication skills. Demonstrated competency in public speaking and strong interpersonal skills required.
  • Computer Skills: Proficiency in Microsoft Office, internet, smartphone applications, Outlook/Exchange; video conferencing platforms; Windows operating systems; and other software routinely used by Heartland Alliance.
