Job Description

The Document Control position will work closely with all members of the project team - Project Managers, Engineers, Superintendents, FOCs, etc., and will be ultimately responsible for the day-to-day distribution and management of documents pertaining to the jobsite.  
  
Responsibilities: 
  
Manage Document Control  

  • QA/QC design change documents  
  • Work with architect on resolving QA/QC issues  
  • Manage and update record drawings  
  • Hard copy – slip sheeting of large format drawings (if necessary)  
  • Soft copy – slip sheet PDF drawings and preserve annotations and hyperlinks created by the PEs  

Manage and update project specifications  

  • Hard Copy – slip sheeting of small format specs  
  • Soft Copy – slip sheet specs in PDF format and preserve annotations and hyperlinks created by the PEs  

Manage folder organization in Bluebeam Project  

  • Organize & maintain final electronic copy of the following:  
  • Answered RFIs  
  • Approved Submittals  
  • Safety documents  
  • Incoming and outgoing correspondence  

Assist RFQ process  

  • Assist in opening Potential Change Items  
  • Send Transmittals, RFQ and supporting documents (or hyperlinks to supporting 
  • documents), and hard copies to the subcontractors.  
  • Assist PEs in collection of RFQs from subcontractors  

Assist in Metric Reporting  

  • Work with Project Controls Manager  
  • Develop metrics for information management   
  • Generate weekly reports for the project team  

Tablet Users Support  

  • Set up and management of tablet equipment  
  • Manage the Bluebeam Studio Project database for the tablet users  
  • Technical support for tablet users  
  • Generate RFI reports and other reports for tablet users to view current information with current hyperlinking abilities   

Project Closeout (Hard Copy and Digital Copy)  

  • Assist closeout deliverable items pertaining to the contract documents and turnover items  
  • Responsible for final record documents accuracy and turnover  

Assist / Manage Archive  

  • Maintain all documents for easy archive transition  
  • Manage archival of all project documents in paper, create and maintain archive log for future reference  
  • Work with IT to transition electronic project documents to the regional archive location  

Other/Administrative  

  • Maintenance of document control area  
  • Order document control supplies  
  • Assist in document recovery
