Position Summary:
The Director of Admissions and Enrollment Services will oversee and manage the communication processes, application review, selection, and matriculation of students into the Doctor of Osteopathic Medicine (DO) program. This position will also ensure the integrity, accuracy, confidentiality, and maintenance of student records in compliance with federal, state, and accreditation regulations. Lastly, this position involves supervising college financial aid staff and liaising with the UNC Office of Financial Aid. Reporting to the Associate Dean of Admissions and Student Affairs, the Director serves as a key leader in both admissions and enrollment services, integrating data analytics, enrollment management, and registrar responsibilities to support the University of Northern Colorado’s College of Osteopathic Medicine (UNC COM) mission.
Job Duties:
Admissions Responsibilities (60%)
· Assist the Associate Dean of Admissions and Student Affairs in overseeing the admissions lifecycle (i.e., inquiry, application, interview, and recruitment), ensuring a seamless and efficient application, selection, and enrollment process.
· Develop, maintain, and coordinate training programs for the admissions committee, screeners, and interviewers via workshops, meetings, orientation sessions, retreats, and online modules.
· Recruit, mentor, and advise prospective students through presentations, college fairs, and individual meetings, serving as a key ambassador for the medical school.
· Oversee the admissions application management system, coordinating with external departments and organizations (e.g., Third-Party Vendors, AACOMAS, CRM, Admissions Software, UNC Registrar, and IT Offices) for development, modifications, troubleshooting, and implementation of admissions processes.
· Develop and operationalize admissions initiatives and events, including but not limited to campus preview days, interview days, and accepted student recruitment activities in collaboration with the Office of Admissions and Enrollment Management
· Manage admissions data and reporting, including Query development, enrollment management statistics; data integrity for internal, local, state, and national reporting; Regular statistical reporting and analysis to inform admissions strategies
· Ensure compliance with all institutional, federal, state, and accreditation standards related to admissions policies and procedures.
Enrollment Services Responsibilities (25%)
· Oversee the academic integrity and maintenance of student records and degree audits, ensuring compliance with institutional policies, the Family Educational Rights and Privacy Act (FERPA), and accreditation standards.
· Coordinate and implement course scheduling and registration activities, collaborating with faculty and administrative departments to ensure accuracy and efficiency.
· Oversee registration and enrollment verification processes as needed to ensure timely and accurate reporting of student enrollment data.
· Assist with the development and implementation of the academic calendar and course schedule for the School of Medicine.
· Maintain and update the UNC COM Catalog, ensuring accuracy in course descriptions, academic policies, and degree requirements.
· Serve as liaison to the UNC Registrar's Office, ensuring the seamless integration of student records management between the COM and the university.
· Serve as the liaison between the College of Osteopathic Medicine and UNC Office of Financial Aid to ensure coordinated support for medical students.
· Assist in developing and communicating financial aid timelines and policies specific to the medical school.
· Monitor financial aid-related communications to ensure alignment with admissions and registration deadlines.
Other Duties (15%)
· Assist in developing policies and procedures related to admissions, student records, and enrollment management to support the college’s mission and compliance requirements.
· Provide data-driven insights and recommendations to leadership to enhance recruitment and retention efforts.
· Participate in committees, task forces, and accreditation activities as assigned.
· Perform other duties as assigned by the Associate Dean of Admissions and Student Affairs to support institutional priorities.
· Supervise financial aid and admissions staff (e.g., coordinator, specialist, counselor, recruiter, federal work-study, graduate assistant)
Minimum Qualifications:
Master’s degree from an accredited institution.
At least five (5) years of experience in higher education, with a minimum of two (2) years in programming management (e.g., admissions events, campus activities, orientation, commencement) or a related role.
Strong understanding of admissions processes, enrollment management, and student records administration.
Proficiency in student information systems, data management, and reporting tools.
Demonstrated ability to manage multiple projects simultaneously, prioritize tasks, and work effectively in a fast-paced environment.
Exceptional interpersonal, communication, and organizational skills.
