Proposal Analyst

Summary Objective

The Proposal Analyst supports the full lifecycle of proposal development by coordinating schedules, gathering content, and ensuring timely, high-quality submissions. This role plays a critical part in driving the efficiency and competitiveness of Stellar Energy’s proposals by facilitating cross-functional collaboration, analyzing data for continuous improvement, and maintaining accurate records within the proposal management systems. The Proposal Analyst works closely with the Proposal Manager to deliver winning proposals that align with company objectives and client requirements, contributing directly to business growth and success.

 

Essential Functions

  • Supports the end-to-end proposal development, from initial RFP analysis to final submission.
  • Develops and maintains detailed schedules and timelines for proposal deliverables.
  • Gathers and organizes technical and commercial content from subject matter experts, writers, and designers.
  • Facilitates cross-functional communication and monitors progress across departments to ensure timely updates in meeting critical deadlines for proposals and presentations.
  • Maintains and updates the CRM system to track proposal activity and registration.
  • Serves as a key liaison between internal teams, documenting proposal statuses and maintaining records for proposals. 
  • Collaborate with the Proposal Manager to resolve proposal-related challenges as they arise.
  • Assists in organizing and archiving proposal submissions and supporting documentation.
  • Provides timely follow-up on outstanding proposals to ensure closure.
  • Evaluates historical data and builds models to support strategies in proposals.
  • Analyzes win/loss trends to identify areas for improvement in future submissions.
  • Coordinates and actively participates in proposal meetings including bid/no bid, risk review, and proposal kick-off. 
  • Conducts research and data analysis to refine cost modeling and enhance proposal competitiveness.
  • Drives daily operations with a focus on delivering impactful results within the proposal function.
  • Collaborate with the Proposal manager to implement meaningful enhancements to processes, tools, and workflows to improve overall proposal outcomes.

Work Location

This position will work out of our Main Office in Jacksonville, FL.  This position is not approved for telecommuting or working remotely. 

 

Work Environment
Most work is performed in an office environment. 

 

Physical Demands
While performing the duties of this job, the employee is regularly required to sit. The employee frequently is required to walk; use hands to finger, handle or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to stand. The employee must frequently lift or move objects up to 10 pounds and occasionally lift or move objects up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision and the ability to adjust focus.

 

Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m.   

 

Travel
Some occasional local day travel may also be necessary. 

 

Required Education and Experience.

  • Bachelor’s Degree in Business Administration, Communications, Engineering Management, or a related field.

 

Preferred Education and Experience

  • Software Proficiency:
  • Microsoft Excel (pivot tables, cost modeling)
  • MS Word, MS Project
  • Adobe Acrobat
  • Any CRM Tool (HubSpot, Salesforce, etc)

 

Work Authorization
Must be authorized to work in the USA.
