Basic Functions:
Maintains physical properties to ensure a safe and habitable place to dwell. Responds to requests by Site Manager in a timely fashion following approved maintenance plan. Maintains high standards of conduct following all policies and procedures outlined in company handbook. Maintains all equipment and tools in proper operating condition.
Payroll
Full-time position 40hrs/week - normally 7:00AM to 3:30 PM Monday through Friday, plus responsibility for after hours emergency calls, including snow removal. Compensation is on an hourly basis.
Relationships:
- Reports directly to Site Manager
- Manages and supervises maintenance staff
- Maintains positive relations with residents, staff and vendors
- Maintains supportive relations with community, fire and police agencies
Key Goals:
- Set up a preventive maintenance plan annually
- Maintain proactive and preventive maintenance plan
- Maintain approved emergency plan
- Maintain insurance risk management plan with Site Manager
- Ensure compliance with building, safety and health codes
- Ensure resident compliance with property policies
- Respond in a timely fashion to tenant service requests and work assignments as provided by Site Manager (optimal time frame is within 24 hours)
Description of Responsibilities and Typical Work Activities (Not limited to:)
A. Maintaining the Physical Asset
- Make recommendations on and oversee subcontractors while on site
- Inspect all buildings and common areas daily
- Have knowledge of power, water and gas turnoffs, clean out traps, fire and safety equipment and fire hydrants.
- Assure that trash is removed from common areas daily, and dumpster areas kept neat
- Maintain equipment and tools
- Notify Site Manager of maintenance problems and recommend solutions
- Keep property maintenance shop and storage areas clean and orderly
- Perform and oversee snow removal
- Oversee lawn cutting, trimming, plantings etc. Some landscaping is performed on occasion (planting flowers, spreading topsoil & seed, etc.)
B. Marketing and Leasing
- Implement move-in and move-out procedures, including inspection forms with the Site Manager.
- Turnover units quickly and efficiently within 5 working days.
- Coordinate preparation of vacant units with Site Manager based on move in dates.
C. Tenant Management
- Respond to all service requests and work assignments within 24 hours, with completion as soon as possible.
- Return completed service request to Site Manager for filing, retain one in maintenance office, and leave a copy with the resident.
- Train and educate residents on safety and compliance issues
- Service appliances, equipment, plumbing, electrical, etc., per service requests
D. Financial Reporting and Control
- Maintain inventories (tools, equipment and supplies)
- Submit all requests for purchase in the form of a purchase order to Site Manager for approval before ordering any material for site. If an emergency and Site Manager is not available, call Property Manager or Vice President of Property Management for prior approval.
- Submit all requests for contracted labor or vendor service to Site Manager for approval
- Work with Site Manager on securing bids for outside vendors.
E. Administration
- Establish work duties and prioritize
- Maintain all maintenance forms and records according to maintenance plan
- Assist Site Manager in performing her/his duties, and fill in as required during absence of Site Manager
