Metis is seeking a Project Administrator to support our NASA Aeronautics Research Technology and Simulation (ARTS) contract with the NASA Ames Aeronautics Directorate. The purpose of ARTS contract is to provide mission critical support for researchers with high-fidelity environments to conduct simulated flight, Air Traffic Management (ATM) research, and advance the state-of-the-art simulation technology. Researchers leverage the ARTS contract to investigate a variety of topics ranging from the design of new aircraft guidance and control systems to the human factors implications of new or existing flight deck displays, airspace operations, air traffic control and automation.
Responsibilities:
This task requires a highly qualified administrative manager with administrative expertise, superior organizational skills, the ability to work in a complex and technical environment, and strong problem solving and communication skills. Major elements of administrative support to the contract include the following:
- Manage the on-boarding and off-boarding effort for all contract personnel:
- Manage badging and access NASA Ames office and lab spaces for ARTS employees and visitors.
- Submit Enterprise Service Desk (ESD) computer/equipment requests for new employees and unsubscribe off-boarding employees
- Manage office space for employees, serving as a point of contact for coordinating and managing office moves, and managing IT/network, phone, and other office-related requirements, working with Division and Center IT and other administrative staff.
- Manage purchasing, invoicing, and receiving for a wide range of contracted technical components and equipment for aeronautics projects
- Perform records management assessment and inventory activity for ARTS employees
- Lead all contract safety processes. Coordinate and maintain all safety information, safety equipment, and facility inspections for the office environment and assist in resolving any issues found; ensure that safety equipment and the facility are inspected; and request maintenance as required.
- Assist management in the implementation of Center policies and directives.
- Provide cost-effective acquisition advice, oversight, and management of all desktop supplies, paper products for printers, furniture, and other items, as requested.
- Provide the development and tracking of service requests, purchase requests, and all other NASA and ARC forms and processes needed to support office and staff requirements, as requested.
- Oversee account authorization responsibilities and e passes.
- Provide support for records management activities.
- Support Ames Exchange morale/welfare/recreation (MWR) activities for office staff, as requested.
- Provide IT operational support for collaborative technologies.
- Research and integrate new IT resources and capabilities for use in conference rooms.
- Assist contract personnel with travel requests and submitting travel expense reports for reimbursement
- Manage contractor calendar events, including scheduling, re-scheduling, and prioritizing appointments and meetings and conference rooms.
- Serve as a point of contact for events, to manage attendance/participation in events, including initiating and managing visitor badging, escort visitors, as needed, and coordinate guest wireless access if needed.
- Prepare agendas, distribute flyers, and notify participants as required.
- Coordinate event catering and decoration, including set-up and breakdown.
Education/Experience Requirements:
- Bachelor’s degree; MBA/Masters preferred
- Minimum 10 years of project management and communication skills; strategic procurement sourcing support; hardware/software technologies support; maintaining records management system(s); developing approaches for problems.
