Are you passionate about supporting families and making a difference in your community? We’re seeking a detail-oriented and customer-focused Childcare Services Representative to join our team. In this full-time role, you will be the first point of contact for childcare families, assisting them with registrations, billing, and account inquiries. You'll play a key role in ensuring the timely and accurate processing of childcare documentation and financial transactions, while working collaboratively with program managers and administrative staff. ESSENTIAL FUNCTIONS:
- Create and maintain professional relationships within all levels of the organization and provide excellent customer service internally and externally.
- Communicate and educate households regarding resources and funding opportunities, including but not limited to workshops, onsite visits, and in-person consultations. Support and assist with community outreach.
- Collaborate with childcare managers to ensure accurate attendance records are maintained and communicated timely.
- Process childcare registrations and attend open houses and informational sessions.
- Input approved financial accessibility and scholarship amounts and communicate amounts with families.
- Communicate all necessary registration information verbally or in writing for all childcare programs under licensing, policies, rules, and regulations.
- Process, track, and follow-up on registrations to ensure complete and accurate records meeting compliance with all applicable policies, laws, and regulations.
- Set up and process third-party billing and private/full pay weekly/monthly invoices.
- Research and recommend changes to childcare billing system to achieve highest childcare reimbursements available from the State of Maine.
- Research and respond to billing and invoicing inquiries from families and third parties.

Requirements
REQUIRED KNOWLEDGE/EDUCATION/CERTIFICATION:
- High School diploma or equivalent required; associate degree preferred
- Prior knowledge of Maine Childcare Subsidy Program preferred.
- Working knowledge of Microsoft Word, Excel, PowerPoint, Adobe, and Outlook
EXPERIENCE:
- Minimum 1 year of customer service experience both face-to-face and by phone
- Minimum 1 year data entry experience using information systems and/or databases
- Experience with computerized accounting software (preference given to State of Maine online billing program, and knowledge of DAXKO).
WORK SCEHDULE: Full-time, 40 hours. Mon – Fri, 8:30 – 5:00.
