Are you passionate about connecting families to high-quality early childhood education and ensuring programs run at full capacity? Mary Crane Center is seeking an ERSEA Coordinator to oversee the critical areas of Eligibility, Recruitment, Selection, Enrollment, and Attendance (ERSEA) in compliance with federal Head Start and Early Head Start regulations.
The ERSEA Coordinator plays a key role in supporting families’ access to services, maintaining accurate documentation, and driving program enrollment across sites. This position provides training and guidance to staff, monitors data and compliance, and represents the agency during audits and monitoring visits.
What You’ll Do
Lead Recruitment and Enrollment
· Develop and implement outreach strategies to ensure full enrollment across all sites
· Monitor waitlists and enrollment to maintain required funded enrollment
· Collaborate with Family Workers, Site Directors, and staff to process applications accurately and efficiently
· Work directly with families to explain eligibility requirements and program options
· Build partnerships in the community to strengthen recruitment pipelines
Ensure ERSEA Compliance
· Verify eligibility documentation in accordance with federal regulations and agency policies
· Maintain accurate records, reports, and databases while ensuring confidentiality
· Conduct ongoing monitoring and audits of ERSEA files and data systems for compliance
· Serve as the primary point of contact for ERSEA compliance during monitoring visits and audits
· Prepare reports for leadership, governing bodies, and funders regarding enrollment and attendance trends
Support Staff and Program Quality
· Train and coach staff on ERSEA policies, eligibility determinations, and documentation requirements
· Collaborate with leadership on strategies to improve attendance and reduce chronic absenteeism
· Provide technical assistance to ensure consistent, accurate, and timely implementation of ERSEA processes
Requirements
Education & Experience
· Bachelor’s degree in Early Childhood Education, Social Work, Human Services, Business Administration, or a related field
· Minimum of 3 years’ experience in Head Start, ERSEA, compliance, or family/community engagement
· Familiarity with federal Head Start Program Performance Standards and ERSEA requirements
· Experience with data tracking and enrollment management systems
Skills & Qualifications
· Strong organizational, analytical, and time management skills
· Excellent oral and written communication abilities
· Ability to interpret and apply regulations and policies accurately
· Strong interpersonal skills to build trust and collaboration across teams and with families
· Capacity to train, coach, and support staff effectively
· Proficiency in Microsoft Office and enrollment databases
· Ability to maintain confidentiality and handle sensitive information with discretion
· Flexible and adaptable in a fast-paced environment
· Bilingual – English/Spanish strongly preferred
Physical & Work Environment Expectations
· Willingness to travel between sites as needed
· Ability to work in active child- and family-centered environments
· Occasional extended hours during peak enrollment periods
