Description
John Marshall Bank has an immediate opening for a Branch Operations Team Lead to provide oversight and direction for branch operations, ensuring efficiency, accuracy and compliance in all daily activities. This position is responsible for supporting staff, fostering collaboration, and improving performance to adhering to operational excellence while maintaining a strong focus on risk management and regulatory requirements. By streamlining processes, reinforcing best practices, and enhancing service delivery, the Branch Operations Team Lead plays a critical role in creating seamless customer experience and supporting the overall success and growth of the bank network.
In this role you will:
- Provide oversight and direction for branch operations to ensure efficiency, accuracy, and compliance in all daily activities.
- Foster collaboration across teams to drive performance and operational excellence, demonstrating strong leadership and communication to ensure cross-functional alignment.
- Review all new deposit account activity and reports daily to ensure proper authorization, required documentation, and accurate imaging. Provide primary support to banking centers with full knowledge of new account operations and related customer transactions.
- Review teller cash reconcilement general ledgers and having them approved.
- Review and send the Deposit Exception Report on a weekly basis to confirm that any missing file documentation has been properly entered in the Deposit Exception Report as procedure states.
- Review all contributions, distributions and close out transactions on IRA accounts in Horizon to verify that the appropriate IRS reporting codes have been used in processing the transaction. Review all original Individual Retirement Accounts (IRA) customer documentation files, to include original applications, contribution forms, distribution forms, change of beneficiary forms, etc. Confirm that all original documentation has been uploaded to the Image Center.
- Review for accuracy and completeness; and maintain all Depository Rate Variance Forms.
- Review and maintain file documentation for all DEBIT/ATM increase forms. The review includes verifying that the document was complete, signed by the customer and approved by the appropriate internal authority.
- Maintain within department appropriate paper/electronic file documentation and/or work papers that demonstrate that the review process required by job responsibility listed above as performed. All file documentation and/or work papers must be signed off by your supervisor or designated department manager and be available for periodic review by outside auditors or regulators.
- Maintain a strong focus on risk management and regulatory requirements, ensuring all actions protect the bank and its customers.
- Manage escalated requests that may originate from branches, commercial banking, or other business lines, taking requisite actions to resolve issues effectively.
- Review of the Branch Operations intranet page to ensure accuracy and relevance of resources. Connect with Director of Retail Banking for updates, suggestions and restructuring of existing material.
- Create, revise and maintain operational procedures by identifying gaps, streamlining workflows, and implementing best practices, while proactively engaging the Director of Retail Banking prior to publishing process improvements.
- Provide direct support to the COO upon request or as needed for operational matters.
- Compose and distribute various types of communication to banking centers on behalf of Retail Banking leadership.
- Apply leadership and critical thinking to identify solutions.
- Ensure operational soundness across multiple functions, safeguarding the bank’s reputation and supporting organizational growth.
- Be knowledgeable of all bank products and services and has the ability to discuss details and answer questions.
- Demonstrate a high level of understanding on bank operations, compliance, corporate policies, procedures, and federal rules and regulations.
- Troubleshoot teller and CSR system issues towards a timely resolution.
- Assist in problem resolution for banking centers and escalated customer issues.
- Facilitates and leads frequent operational meetings to review problems, policies, procedures and enhancements.
- Assist in training (Teams, In-person etc.) on branch procedures and processes, including new accounts and teller, as well as products and services.
- Manage the quality control process, including spot checks of depository documentation, and surprise banking center cash audits, and other banking center related audits. Reviews various daily reports for quality control issues and trends.
- Direct the exception process, including identification, tracking, and proactive support to banking centers for resolution; collaborate with the Director of Retail Banking as needed.
- Provide support to CFO and COO with public funds accounts and forms. Assist with various projects, assignments, tasks and initiatives as directed by management.
- Complete on-going courses to maintain required compliance knowledge requirements.
- Other Duties as assigned.
TRAVEL:
- Travel between banking centers as required.
- Travel to and participation in bank-wide meetings and events as required.
Requirements
REQUIRED
- Associate’s degree or equivalent work experience preferred
- At least 3 years in banking operations
- Proficiency required in Microsoft Excel, Word and Outlook.
- Ability to learn and adapt to new information and technology platforms
- Ability to organize, manage and coordinate tasks that keep workflows efficient.
- Creative problem solving
- Strong ability to remain organized and prioritize while working under pressure
- Effective communication and listening skills, possess an above average written and verbal communication skills (including correct spelling and proper grammar usage), and is comfortable engaging with customers and employees.
- Maintains flexible availability to work weekends and/or extended hours as needed.
- Must attend in-house and/or external classes as required and approved by supervisor.
