Job Title: Department Coordinator, Humanities and Social Sciences
Job Summary: The Department Coordinator will serve as an administrator, coordinate all student capstone projects, and coordinate departmental and faculty projects.
Key Responsibilities include but not limited to the following:
Administrative Duties -
Collate and regularly update department records including but not limited to faculty CVs, faculty research interests, faculty conference attendance, teaching loads, faculty contact information, etc.
Manage the department budgets, upload all expenses to the accounting platform, track all expenses and provide the HOD with regular budget updates.
Liaise with the finance team for updates on payments and reconciliations where necessary.
Aid HOD by managing HOD’s emails, calendar, contacts, records and general office workflow.
Follow up on requests to the HOD through correspondence and making sure that activities and commitments made are completed.
Coordinate all relevant correspondence between the department and internal and external stakeholders such as University/Institution partners.
Schedule all department related meetings i.e., faculty meetings, faculty intern meetings, joint meetings, project, or task force meetings, etc., make notes and action plans. This includes refreshments, room allocation logistics, etc.
Manage the department’s logistics including access and use of video-conference software, class trip arrangements, visit of academic scholars, class guest arrangements, Ashesi memorabilia, etc.
Develop and track schedules of HSS projects on behalf of the head of department
Coordinate all logistics including fund requests, hotel, and flight bookings related to faculty development and training.
Support with the scheduling and collation of faculty self-evaluation forms.
Department Quality Assurance Processes:
Create a moderation schedule for syllabi and final assessments.
Work with the Academic Affairs team on course evaluation distribution and analysis (Mid Semester and End of Semester) via the course evaluation online tool.
Support academic departments with accreditation and reaccreditation processes.
Support the department pre and post moderation process.
Support with Teaching and Learning:
Support the Library team with the collation of textbook titles and must-have chapters.
Collate updated syllabi, final assessments questions and marking schemes for all courses in the department.
Work with the HOD and Academic Registry to ensure smooth LMS and SIS set up for students and faculty from course registration to final grade upload (including histogram and grade sheet signing by HOD).
Distribute and share class schedule (class list, days/times of sessions, faculty intern information, academic calendar, etc.).
Distribute and share department processes (moderation process, platform instructional videos and guides).
Compute annual teaching loads for faculty and coordinate with the HOD and Provost for overload payments.
Provide blended/hybrid learning support where needed i.e., zoom account set up and distribution.
Faculty and Faculty Intern Recruitment
Work with the HOD to develop personnel plans for the academic year. Support the HOD to organize department’s course recruitment and onboarding sessions for faculty and faculty interns.
Support the Faculty hiring process by:
Support the HOD with reviews on the institutional HR portal to shortlist potential faculty interns, full time, adjunct and/or visiting faculty.
Coordinate with the HR team to schedule interviews and confirm availability of panelists.
Share final recruitment decision with the HR team on behalf of the Head of Department.
Coordinate the schedule for faculty intern hiring (contract and national service personnel) i.e., communicate calls for interns, schedule interviews, collate all applications, share final lists with HR, etc.- Collate and distribute publications, conferences/workshop, faculty research interests, faculty CVs, etc. for NTCE, GTEC, etc. including collation of CVs Annually.
Capstone-Related Duties:
Assist with list of Humanities & Social Sciences faculty that can support the Business Administration department capstone team as supervisors and/or examiners;- collating faculty interests and analyzing faculty teaching loads.
Other Duties:
Supporting the Center for African Popular Culture.
Provide guidance and support to Faculty Intern to aid them support student/classroom related issues.
Any other duties related to the role as assigned.
Requirements
A minimum of a bachelor’s degree in project management, business administration or a related field
A minimum of one year work experience in project management and administration or a related field
Excellent interpersonal skills
Detail-oriented, organized, and able to multitask
Analytical and problem-solving skills
Excellent written and verbal communication- Good computer skill in Windows Office especially Word, Excel & PowerPoint
