ADMINISTRATIVE ASSISTANT 3, BHS COUNSELING OFFICE

Full time - 52 Week position, 37.5 hours per week

 

Under the direction of the Director of Counseling, the Administrative Assistant performs record keeping and administrative secretarial work in supporting the office activities of the Guidance Department, and other related work as required.

 

EXAMPLES OF RESPONSIBILITIES:

  • Perform record keeping and administrative secretarial work in supporting the office activities
  • Greet and direct visitors, answer phone calls, and respond to inquiries
  • Maintain student records
  • Assist in the preparation and distribution of school correspondence
  • Distribute and collect forms and documents
  • Maintain confidentiality and handle sensitive information in a discreet manner, adhering to privacy laws and regulations.

 

QUALIFICATIONS: 

High school graduation with courses in office procedures and business practices; Associate’s degree in related field desirable; two years of progressively responsible office experience; or any equivalent combination of education and experience.

 

Knowledge: Thorough knowledge of office procedures, practices and terminology.  Good working knowledge of the use of office and data processing equipment, business arithmetic, American business English and spelling.  Basic knowledge of accounting techniques.

 

Ability:  Ability to organize time and to work independently and accomplish tasks.  Ability to maintain detailed statistics, records, and clerical records.  Ability to deal effectively and tactfully with the public.  Ability to maintain confidential information.  Ability to compose correspondence and to prepare, type, and proofread reports as to form and logic flow.  Ability to communicate effectively with the public, coworkers, other employees, other departments, officials, and other agencies.  Ability and willingness to learn job-related skills.  Ability to satisfy attendance requirements.

 

Skill: Superior administrative and secretarial skills.  Expertise and skill in utilizing personal computers, popular word processing, database, and spreadsheet applications. Excellent customer service skills.

 

SALARY/BENEFITS:  As listed in the Agreement between the Burlington School Committee and Burlington School Office Personnel, Group 3

START DATE:  Immediately
