The Enrollment Services Specialist will be a key resource for students by providing support through admissions, registration, and enrollment. This position is responsible for disseminating individual and specific program information to prospective students in relationship to admissions processing. The Enrollment Services Specialist will maintain all related records, which includes transcript tracking, maintaining standard operating procedure manuals using computer and specific program software, and assisting in the preparation and tracking of program data, high school diplomas, and student attendance.
The Enrollment Services Specialist is a full-time, overtime eligible position that is part of Student Services and reporting directly to the Associate Dean of Enrollment Services/ Registrar. This position is represented by the Washington Federation of State Employees (WFSE) union. The salary range for this position is $53,099.06 - $65,907.54 annually. Position Duties
- Demonstrate multicultural competence (including an awareness and understanding of historically marginalized populations) and create an educational and work environment that affirms commitment to equity, diversity, and inclusion.
- Provide front line customer service to students and to the community, in person, by phone and electronic/online formats, assisting prospective, new and continuing students.
- Provide registration desk and back office support for Enrollment Services which includes: phone reception for Enrollment Services, admissions, registration data and statistical program records data entry and reports.
- Prioritize and manage multiple tasks, under pressure, during peak registration times and within deadlines.
- Identify, investigate, and mitigate potential admissions and enrollment fraud in alignment with the State Board for Community and Technical Colleges (SBCTC) fraud prevention guidelines. Monitor and analyzing student applications for indicators of potential fraud using established protocols and evolving patterns
- Collaborate with departments such as financial aid, student financials, and IT to investigate and resolve suspected fraudulent admissions activity
- Track and enter credits into diploma application/planners create and update diploma application/planners and add students to high school plus tracking spreadsheet
- Work with the enrollment technology specialist and credential evaluator to mail and e-mail diploma completer letters of congratulations and info on commencement.
- Maintain compliance within college policy and State and Federal regulations. Interpret and work within laws, regulations, and policies completing inquiries, requests and concerns.
- Independently assist student enrollment and registration including complex, sensitive, multi-faceted enrollment situations.
- Maintain the integrity of the data and student information and transactions. Update biographic and data edits as needed. Maintain correspondence and enrollment transactions in CTClink.
- Follow and maintain compliance with FERPA regulations regarding any student educational records.
- Make referrals to counselors, faculty, and others. Work with instructors to access grades for high school+ program.
- Assist students with cancelled or changed classes via phone, Zoom, Teams and email.
- Maintain desk manual/SOP (standard operating procedures), keeping current with continuous changes to programs, policies and procedures.
- Communicate professionally and effectively, both orally and in writing, with college employees, outside agencies, and a diverse student population.
- Maintain regular attendance and punctuality.
- Perform other related tasks as assigned by the Associate Dean of Enrollment Services/Registrar.
Minimum Qualifications
- Experience or participation with persons from diverse backgrounds such as sexual orientation, racial, ethnic, religious, linguistic, gender, age, socio-economic, physical and learning abilities, and a commitment to an inclusive and equitable working / learning environment.
- High school graduate or equivalent.
- Four years of general office experience, including keyboarding, maintaining records, and greeting the public. Two years of business school training in clerical procedures may substitute as work experience.
- Proficient computer skills and knowledge of electronic data base systems, spreadsheets, Word, Outlook and Excel (SMS experience preferred).
- Excellent leadership and interpersonal skills and ability to work effectively as part of a team.
- Demonstrated attention to detail required as well as previous experience maintaining accurate records, managing multiple tasks, and planning and organizing work to meet changing priorities and deadlines.
- Ability to establish and maintain effective working relationships with students, parents, staff and the public.
- Demonstrated competencies to organize, set priorities, attend to details, and follow tasks through to completion.
- Demonstrated ability to promote universal design and accessibility. Proficiency in (or ability to learn within 6 month of hire) the production of accessibly content, whether print or electronic.
- Ability to represent the college in a positive and professional manner, while using tact, discretion and courtesy.
- Ability to speak a regionally top spoken language other than English is preferred (Spanish, Vietnamese, Russian, Somali, and Chinese).
WORKING CONDITIONS:
Working hours are generally aligned to business hours, Monday through Friday, 8:15a.m - 5:15p.m. The scheduled shift for this position may adjust depending on college needs. Work is mostly sedentary in nature, performed in an office environment. Frequent use of a computer and exposure to terminal screens is required. Work and meetings may take place across campus. May drive/travel to trainings, conferences, and/or college events. This is mostly an in-person/on-campus position; remote work may occur as business permits.
