About the Role
This is not a simple bookkeeping job — it’s a critical accounting and compliance role at the center of multiple businesses and executive-level finances. You’ll work across service, real estate, and SaaS companies while also supporting the CEO’s personal financial organization. Your work will ensure all records are accurate, compliant, and ready for external CPA firms, auditors, and advisors.
Your mission: keep the books accurate, payroll and compliance current, and executive/financial reporting clear — so leadership and accountants always have the information they need.
This role is for someone who thrives on precision, can juggle multiple responsibilities, and understands the importance of confidentiality when handling both company and personal financial matters.
Key Responsibilities
- Multi-Company Accounting: Manage bookkeeping across multiple entities (service, SaaS, real estate).
- Executive Finances: Track, reconcile, and organize CEO’s personal/business accounts and financial records.
- Payroll & HR Coordination: Process payroll and maintain employee records using systems such as Paylocity or QuickBooks, ensuring compliance with HR/payroll requirements.
- Financial Accuracy: Reconcile bank/credit accounts, track payables/receivables, and maintain clean ledgers.
- Compliance Management: Oversee vehicles, registrations, business licenses, insurance renewals, and tax documentation.
- CPA Coordination: Prepare organized monthly/quarterly packages for external accountants (business + personal).
- Reporting: Provide financial summaries, dashboards, and cash flow updates for leadership and the CEO.
- Documentation: Maintain complete, accurate records for taxes, payroll audits, and regulatory compliance.
- Cross-Company Communication: Act as the internal handoff point to higher-level accountants and leadership.
Requirements
What You’ll Bring
- Proven accounting or bookkeeping experience, ideally across multiple entities.
- Proficiency with QuickBooks Online and/or Paylocity, with the ability to adapt to whichever system is in use.
- Familiarity with additional platforms such as ServiceTitan, Stripe, or other accounting/operations tools.
- Experience handling both business and personal financial organization.
- Strong organizational skills and attention to deadlines.
- Professional communication skills for working with leadership, HR, and external CPA firms.
- High level of discretion, reliability, and sound judgment in handling sensitive information.
- Employment is contingent upon successful completion of a background check and drug screening.
What Success Looks Like in 90 Days
- All company books are fully reconciled and accurate.
- CEO’s personal finances are organized and aligned for seamless reporting.
- Payroll is processed accurately and on time using Paylocity or QuickBooks.
- Vehicle registrations, licenses, and compliance tasks are current with zero missed deadlines.
- External accountants receive complete, well-prepared packages with minimal follow-up required.
