About the Department
Serves as the first line of customer service to the public (both telephone and walk-in customers). Process building permit applications, maintain permit/inspection database. Spreadsheet and files, process code violation daily reports and send out certified letters. Maintain code violation database and spreadsheet. Process payroll/monthly invoices and create various monthly reports. Calculate fees & issue various inspection permits. Perform related duties as apparent and/or assigned.
Position Duties
ESSENTIAL AND RELATED FUNCTION STATEMENTS:Essential and other important responsibilities and duties may include, but are not limited to, the following:
- Serves as the first line of customer service to the public (both telephone and walk-in customers).
- Process building permit applications, maintain permit/inspection database.
- Calculate fees & issue various inspection permits.
- Perform related duties as apparent and/or assigned.
- Coordinates and performs a variety of clerical permit processing functions on behalf of Planning & Development Services
- processes and issues permits and licenses; coordinates inspections; assists with open records requests, maintains compliance with state retention requirements, processes payments and performs other related duties.
- Provides customer service and assistance to contractors, the general public, and city staff.
- Processes payments for permits, site plans, plats, water & sewer taps, variances, and other Development Services related fees.
- Responds to routine inquiries and complaints regarding the Development process, building codes, and/or other building related matters.
- Receives and processes permit applications and/or plan submittals; monitors documentation for accuracy and completeness.
- Performs data entry; creates, updates, and maintains applicant files.
- Tracks and notifies customers regarding the status of permit applications and/or plan reviews.
- Processes building and trade permits, contractor licenses, Certificates of Occupancy, and all other construction/development-related documents.
- Receives, coordinates, and schedules all inspections.
- Prepares, copies, files, sends, faxes, scans, and emails various types of correspondence.
- Provides clerical support to the Planning and Development Services regarding permitting, inspections, health, zoning, and code enforcement.
- Coordinates and responds to open records requests.
- Responsible for maintaining state retention requirements.
Minimum Qualifications
High school diploma or equivalent.
Minimum two (2) years experience in an administrative support position with proficiency in Microsoft Word and Excel computer applications and general office procedures/equipment.
Must be able to rapidly learn and perform tasks, communicate effectively, assimilate and understand information, and maintain composure during situations of conflict.
Must have a public service attitude, work closely with others as part of a team, and interact professionally with staff, Commission/Board members, and the general public at all times.
Requires ability to work under minimal supervision and prioritize work assignments.
Must have a valid driver's license.
Bilingual (Spanish) preferred.
Other Qualifications
Tasks are performed in a sedentary position at workstation with occasional walking required. Requires extensive use of computer, printer and other office and telecommunications equipment. The employee must exert light physical effort, occasionally involving lifting, carrying, pushing and pulling of objects and materials (mostly file boxes) of up to thirty-five pounds. Requires visual perception and ability to communicate orally. Job must be performed with or without accommodations.
