Summary: Under the supervision of the Vice President of EHS Services, the Fleet Manager will provide leadership for Safety Management Group, LLC (SMG) and its subsidiaries' fleet management programs.
Essential Duties and Responsibilities include the following:
KPIs
- Develop new driver training course specific to SMG needs to replace existing training
- Analyze SMG transportation costs (fleet operation costs and expensed mileage costs) to identify trends and potential savings opportunities
- Improve driver safety scores using GPS and fleet safety system data to track and address risky driving behaviors
- Optimize vehicle utilization by analyzing usage data to determine when to procure or retire fleet vehicles to maximize profitability
- Maintain high fleet uptime by minimizing repair turnaround time and ensuring unassigned vehicles are deployment-ready
Fleet Safety
- Promote and fully support the SMG driver safety program
- Lead the fleet driver safety team and its initiatives
- Ensure vehicle safety policies are current and applicable to all drivers and vehicles
- Ensure vehicle safety policies are understood and followed by all drivers
- Evaluate and revise policies and procedures as needed
- Propose safety initiatives based on current vehicle trends
- Ensure proposed safety initiatives are relevant to all drivers, attainable, and cost-effective
- Participate in all vehicle incident investigations and lead post-incident investigation meetings
- Address public concerns related to SMG vehicle operators
- Track driver training, recognition, and incident records
- Maintain and monitor fleet safety systems
- Utilize GPS and fleet safety systems to monitor driver behavior
- Maintain accurate reporting and tracking of all fleet vehicles utilizing GPS system
- Deliver monthly fleet safety trend reports to leadership
- Act as subject matter expert on fleet safety systems
- Manage daily vehicle inspection and ROWHA systems and processes; ensure compliance by all fleet drivers
Fleet Administration
- Manage all fleet vendors
- Review all fleet invoices and approve payment to applicable vendors
- Coordinate with vendors for repairs, leasing, and procurement
- Oversee state inspections, maintenance, and repairs on all fleet vehicles
- Manage SMG fleet records, including, but not limited to:
- Approved drivers
- MVR reporting
- Active vehicles
- Vehicle registrations
- State vehicle inspections
- Fleet insurance
- Maintenance and repair records
- Manage all vehicle insurance claims
SMG Transportation Optimization
- Prepare reports for leadership on fleet performance and costs
- Ensure fleet operations run smoothly, safely, and cost-effectively
- Ensure unassigned SMG vehicles are ready to deploy (e.g., clean, maintenance current, full gas tank)
- Oversee the acquisition, maintenance, and disposal of fleet vehicles
Assumes responsibility for related duties as required or assigned.
- Must be willing to travel overnight, when necessary, to assist in incident investigations, delivery of vehicles, and/or training of new fleet drivers
- Facilitates special projects, as assigned.
- Attends and participates in meetings, as required.
Requirements
Education and/or Experience: Bachelor’s degree in a related field and more than 5 years of experience in fleet management.
Qualifications: Possess and maintain a current, valid driver’s license. Attention to detail and accuracy. Positive attitude and willing to assist others. Able to learn new systems and processes quickly. Self-starter and able to work independently. Excellent planning and organizational skills with the ability to prioritize and execute projects to completion.
Physical Demands of the job may include: Prolonged periods sitting at a desk and working on a computer. Manual dexterity is needed for typing and other repetitive tasks. Must be able to speak in an accurate and detailed manner on the phone or in person. Moving about long distances and uneven terrain; Ascending and descending stairs and ladders; Remaining in a stationary position for a prolonged period; Working in extreme weather; Being exposed to loud noises; Wearing personal protective gear correctly most of the day.
Location of the job: This position is hybrid and will require some in-office days, in addition to working remotely. This requires a high-speed internet connection and the ability to work remotely without distraction. Travel will be required and may be intermittent.
